RESPONSIBILITIES

    • Manage office facilities and keep the office in good functional order
    • Run front desk: greet visitors, receive packages, sort mail
    • Maintain our office supplies stocks, place new orders and keep our office equipment functional
    • Organize paperwork, processing invoices, scanning, filing, and report generation
    • Coordinate inter-continental travels and bookings with our travel agents or assist our employees in the Visa obtaining process
    • Contribute to special projects and events designed for our employees working from home
    • Organize company events (parties, team buildings, gatherings, external trainer/speaker events online and onsite)
    • Coordinate with our suppliers for different orders and delivery terms
    • Search the local market for new suppliers in case of need
    • Keep a great collaboration with local suppliers and respect our contractual terms
    • Participate actively in our Talent Services local and global meetings
    • Purchase different vouchers/gifts/items for employees as per internal activities and events
    • Follow the internal processes and policies

REQUIREMENTS

    • Relevant experience in the front office and administrative role
    • Great English language skills
    • Great MS Office knowledge (Excel, Powerpoint and Word)
    • Fast thinker, solution-oriented
    • Great communication skills for internal communications and interaction with employees
    • Attention to details
    • Proactive, quick learner
    • Multitasking capabilities

    • Nice to have:
    • Experience in travel bookings with agencies, visa process, travel booking platform
    • Financial knowledge would be a plus (PO, creation of new vendors, contracts, offers, invoices, etc)
    • Any technical experience in business administration would be a plus
    • Willingness to travel
