We are seeking an experienced Executive Assistant to support a Managing Partner based in Kuala Lumpur. The Managing Partner oversees a global portfolio and travels frequently. This role requires strong organizational skills, sound judgment, discretion, and the ability to manage a broad set of responsibilities with minimal supervision. The Executive Assistant will work closely with the Office Manager and the Managing Partner to provide day-to-day support, including scheduling, travel coordination, task management, and operational follow-through. This is a long-term, full-time role based in-office.

Key Responsibilities

    • Manage a dynamic calendar across multiple time zones; coordinate internal and external meetings.
    • Organize complex international travel arrangements including flights, accommodations, visas, and local transport; prepare detailed itineraries.
    • Support email and communication management, meeting prep, research, and general administrative tasks.
    • Draft and format business materials, including documents and presentation slides.
    • Maintain accurate records and filing systems, including sensitive and confidential information.
    • Handle personal errands and tasks for the Managing Partner as needed.
    • Support office and team operations including subscriptions, payments, and equipment logistics.
    • Assist in the planning and coordination of team events, meetings, and off-sites.
    • Identify and implement tools and processes to improve workflow, communication, and productivity.
    • Communicate across a range of platforms including WhatsApp and other informal channels.

Key Qualifications

    • Proven experience supporting senior executives, ideally in a global or fast-paced environment.
    • High level of discretion, integrity, and professionalism.
    • Strong written and verbal communication skills.
    • Excellent attention to detail and ability to manage competing priorities.
    • Proficiency in common productivity tools and willingness to learn new platforms.
    • Flexibility to support needs outside of standard working hours when required.
    • Comfortable working independently and collaboratively.
