Bustle Digital Group (BDG) is seeking a personable and highly organized individual to provide executive administrative support to several senior executives at the Company. In this role, you will act as a liaison between the executives and other members of the BDG executive team, board members, and employees. You must have strong administrative, organizational, and written and verbal communication skills. You will need to be self-motivated and proactive and must exercise good judgment and discretion in a variety of situations while maintaining balance among multiple priorities. We are looking for a detail-oriented, highly resourceful multi-tasker who loves what we’re building at BDG and wants to contribute to BDG’s fast growth and success.
 
This position will perform diverse, advanced, and confidential daily executive administrative support duties. As a result, this EA interacts daily with other senior-level BDG leaders and executives. They will provide a high level of professional support which includes a balance of senior executive level administrative work, as well, as ongoing ad hoc project/business initiatives such as planning meetings, tracking deliverables, and pulling routine reports. The ideal candidate is a contingency planner, who is adaptable and poised under pressure. This role is ideal for an individual who is highly organized, detail-oriented, tech-savvy, and capable of managing multiple priorities.

Responsibilities

    • Provide high-level administrative for several senior executives at the Company
    • Perform heavy calendaring, complex travel planning, extensive document creation/editing, and preparing expense report submissions
    • Schedule a high volume of meetings and answer emails in a timely and accurate fashion
    • Prepare all meeting logistics, invitations, facilities and providing detailed data, information, and resources to leader and participants proactively
    • Handle all personnel and confidential company materials with sensitivity and discretion
    • Coordinate and manage domestic & international business travel, conferences, and accommodations, including itineraries and agendas
    • Take dictation and minutes during high-level meetings, write them up and share with attendees when necessary
    • Successfully manage projects while prioritizing conflicting needs and managing daily incoming tasks
    • Research and complete special projects assigned by members of the management team
    • Work with Senior Leader to help organize team off sites as needed or other team morale events. 
    • Manage executives' work calendars.

Requirements

    •  6+ years of experience as EA, PA, or similar role
    • Excellent Google Suite, MS, Mac Equipment skills
    • Highly proactive, resourceful, sharp, and capable of multi-tasking and anticipating needs in a fast-paced environment and remains poised under pressure to keep operations smooth and efficient
    • Ability to handle confidential information
    • Excellent verbal and written communications skills with the ability to build rapport quickly and engage collaboratively with individuals/clients at all levels 
    • Positive attitude and a total go-getter
    • Ability to make quick decisions with little instruction
    • Experience in managing confidential and proprietary data and information
    • Proven ability to learn processes and concepts quickly
    • Must be available to work from our New York City office and have the flexibility to travel with senior executives when necessary
    • Salary Range: $75,000-$78,000
