Position Overview:
The Operations Analyst is an entry-level role designed for someone eager to launch their career in operations, logistics, and/or project coordination as well as get broad exposure to clinical research and community engagement. Additionally, this role orchestrates day-to-day executive support for Community Engagement leadership (scheduling, briefing materials, logistics, and information flow) to keep priorities moving with minimal friction, helping to manage team projects, track progress against key milestones, and maintain internal systems.

You’ll work closely with team leadership and cross-functional operations managers who will mentor and guide you as you contribute to meaningful work that supports health screenings and clinical research education delivery across communities nationwide.
What You'll Be Working On (Duties include but not limited to):
- Project and Priority Tracking – Own the leadership priority tracker; translate team leadership priorities into tasks, owners, and dates; capture decisions and follow-ups from leadership cadences; publish weekly status notes
- Leadership Cadence, Notes, and Communication – Run end-to-end meeting operations for leadership: build and sequence agendas, pre-read packets, and briefing one-pagers; drive calendar orchestration across time zones; capture decisions and risks; send crisp action summaries within 24 hours; draft internal announcements and updates for team leadership
- Knowledge & Document Management – Maintain leadership folders, templates, and SOPs; version decks; keep a current “leadership briefing kit” (bios, org charts, current KPIs, talking points)
- Issue Triage & Stakeholder Routing – Triage inbound in Slack and email support channels; act as gatekeeper for leadership by routing requests, clarifying asks, and booking only what aligns to top priorities; log and track to closure.
- Build source-of-truth slides and data for Monthly and Quarterly Business & Operational Reviews; coordinate inputs and chase owners; run version control and final QA
- Help organize logistics and track details for community events, staffing plans, and team capacity
- Assist with onboarding tasks for new full-time and temporary staff
- Vendor/partner coordination: schedule, capture next steps, and route to the right internal owner
- Facilitate organization of team-building activities, including virtual events, milestone celebrations, or wellness check-ins
- Assist with collecting feedback from the team via survey or interviews to improve operations
What You Bring (Knowledge, Skills, and Abilities):
- Strong organizational and time management skills
- Clear written and verbal communication abilities
- Attention to detail and high level of follow through
- Ability to manage multiple tasks at once and prioritize effectively
- Proficiency in Microsoft Office Suite
- Comfort using remote collaboration tools such as Slack, Teams and Monday.com
- Experience with AI tools and technologies is highly desirable
- A positive and adaptable attitude
- Professionalism, responsiveness and ability to maintain confidentiality
Certifications, Education, and Experience:
- Bachelor’s degree required
- Internship, academic, or volunteer experience in operations, administration, event coordination or logistics is preferred
Physical & Travel Requirements:
- This role requires 100% of work to be performed in a remote office environment and requires the ability to use keyboards and other computer equipment
- This role requires up to 20% travel. Length of travel will depend upon team requirementsand company initiatives.
