Salary: Up to NZD/AUD $80k excluding Kiwi Saver/Superannuation for the right candidate
Flexible working hours: Maximum 3 hours +/- 0900 to 1700 AEST/AEDT Monday to Friday

About the Role

We’re on the hunt for an Administration Officer to assist the newly created Ackama Group Corporate Services Team with the day-to-day administration of projects and programmes across:
# Knowledge Management
# Finance and accounting
# IT Infrastructure
# Legal & Compliance
# Facilities Management
# Procurement

With complete on-the-job training, this is an ideal position for a recent graduate with a business, professional writing or knowledge management focused degree. The role is an excellent opportunity to gain exposure to all aspects of Group Operations, both at the Holding Company Level and across the Group Portfolio Companies including Ackama NZ, Ackama AU and Common Code.

You’ll be the second hire (after the Head of Corporate Services - Ackama Group NZ AU) in a rapidly growing team possibly expanding to 3-4 people within 12 months.

Key Outcomes/Purpose of the Position

To assist the Corporate Services Team with:
# The implementation of the Shared Services Strategy across the Group
# Optimising Business Operations via automation, consolidation of processes, and cost savings
# Administration of Projects and Programmes delivered by the Corporate Services Team

Key Responsibilities

To assist the Corporate Services Team with the following as required:

# Knowledge Management
- Creating and maintaining documentation of key processes
# Finance and Accounting
- Preparation of financial reports and budgets
- Financial planning
- Accounts payable and receivable
- Payroll
- Cross-billing and Transfer Pricing
- Board reporting
- Maintaining key spreadsheets and registers (assets, risks, etc)
# IT Infrastructure
- Hardware Asset Management
- Identity & Access Management
- Service Desk
# Legal & Compliance
- Record keeping
- Preparing documents for digital signing
- Health and Safety compliance reporting
# Facilities Management
- Hybrid Work Programme
- Asset management
# Procurement
- Travel and Accommodation

Skills, Experience & Qualifications

# Critical Skills:
- Medium to advanced written English (if you have an opinion on the Oxford comma this is you)
- Medium to advanced general tech/IT literacy (if you’ve ever installed your own operating system or even had a crack at it this is you)

# Desirable Skills:
- Ability to learn quickly
- Strong analytical skills
- Ability to think in terms of systems
- Intrinsically motivated to organise things
- Ability to build trust with most people, and motivate people regardless of their job title & hierarchy
- Ability to give credit where credit is due
- Ability to not shy away from hard conversations and be willing to be held accountable when things go wrong

# Critical Experience & Qualifications:
- None. This is a graduate/entry/career change level position.

# Desirable Experience:
- Customer service experience in a call-centre or service desk environment
- Basic IT administration experience
- Experience with Slack and Google Workspace is a bonus

# Desirable Qualifications:
- Bachelor’s degree or equivalent is preferred but not required for the right candidate

- Attention to detail and process compliance
- Timely maintenance of documentation
