About the role
We are seeking a proactive and detail-oriented Administrative Assistant with 1–5 years of experience to support a senior executive and contribute to the efficient operation of the front office. This role requires exceptional organizational skills, discretion, and the ability to manage multiple responsibilities in a dynamic environment. The ideal candidate will also collaborate with Human Resources on internal events and special projects.
Responsibilities:
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare meeting materials, agendas, and take minutes when necessary.
- Screen calls and emails, prioritize correspondence, and draft professional responses when appropriate.
- Greet and assist visitors, ensuring a professional and welcoming environment.
- Maintain front office supplies and coordinate facility-related requests.
- Serve as a point of contact for office vendors and service providers.
- Collaborate with HR on employee engagement initiatives, office events, and special projects.
- Process expense reports, invoices, and purchase orders.
- Maintain files and records with confidentiality and accuracy.
- Assist with internal communications and company-wide announcements as needed.

Qualifications:
- 1–5 years of administrative or executive support experience, preferably in a fast-paced or corporate environment.
- Strong organizational and time management skills with the ability to prioritize and multitask effectively.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting tools (e.g., Zoom, Teams).
- Excellent written and verbal communication skills.
- High degree of professionalism, discretion, and confidentiality.
- Ability to work independently and as part of a collaborative team.
$70,000 - $90,000 a year
