FIG’s office at 73 Spring is the heart of our culture and center of all activity. As such, it is imperative that the office is always available as a clean, safe and technologically sound work space for our staff and subtenants. The Office Coordinator is responsible for ensuring this is always true. 

The Office Coordinator’s duties break down into three key areas: facilities management, tenant relations and office event management.  

This role will oversee third parties responsible for the cleaning, maintenance and repairs of the physical space as well as working directly with the landlord and building management to resolve facilities issues quickly and to the benefit of FIG. Additionally this role will handle all ordering of consumables and perishables while tightly monitoring use to ensure that the office is always properly stocked, but never wasteful. They will also be responsible for ensuring that all audio/visual tools are properly maintained and up and running.

Finally the person in this role will coordinate with staff to execute office events to FIG’s standards of excellence. This includes town halls, happy hours, new business pitches, client meetings, department meetings or any other in-office event. This should be accomplished by working with staff to utilize approved events budgets to engage approved FIG hospitality services vendors. 

Essential Duties & Responsibilities

    • Communicating, planning, and management of all 3rd party vendors, services necessary to operate and maintain 73 Spring 
    • Working directly with the landlord and building management of 73 Spring 
    • Establish and maintain a working model for ordering and tracking supplies including pars for daily and special event usage
    • Ongoing daily refreshes of office consumables and perishables (e.g coffee, oat milk, pens, flowers, etc.)
    • Overseeing daily office open and close protocols
    • Plan and execute logistics for in-office events
    • Manage, maintain, and track FIG’s office assets

Qualifications

    • Experience working in a customer service role 
    • Experience using iOS devices (laptops, desktops, phones and tablets)
    • Certification or degree in a related field preferred but not required 
$50,000 - $50,000 a year
This position will be considered a nonexempt position, which means that you will be eligible for overtime time pay for hours worked in excess of 40 in a given workweek.
