Fix Group Management is a fast-growing, family-owned business in the automotive repair industry. We’re looking for a proactive, highly organized Executive Assistant to support our owner and help drive key initiatives across the organization. Essential Duties and Responsibilities:
- Administrative Support: Manage daily tasks, handle paperwork, and ensure nothing falls through the cracks.
- Calendar & Inbox Management: Prioritize, schedule, and confirm meetings, calls, and follow-ups; manage high-volume email inboxes.
- Document Handling: Prepare, organize, and file legal paperwork, contracts, and other sensitive documents.
- Note Taking & Follow-Up: Sit in on meetings, take notes, track action items, and follow up with internal and external stakeholders.
- Project Coordination: Keep tabs on key deadlines and projects, making sure the owner stays informed and on track.
- Research & Prep: Assist with background research, vendor communication, and preparing information ahead of meetings.
- Process Improvement: Help develop and document workflows to keep operations efficient and organized.
- Confidentiality: Handle sensitive business and legal information with discretion and professionalism.
Education and/or Experience:
- Bachelor’s Degree in a related field, preferred
- 5 or more years of experience as an Executive Assistant
- 5 or more years of experience with email and calendar management
- 5 or more years of experience with the following software:
- G-Suite preferred
- Microsoft Office preferred
- Basecamp preferred
- Proven experience preparing, scheduling, and monitoring recurring meetings
- Excellent written and verbal communication skills
- Meticulous attention to detail
- Ability to function well in a high-paced environment
- Works well under pressure and is able to meet tight deadlines
- Excellent organizational and time management skills
- Strong decision-making and problem solving skills

$80,000 - $100,000 a year
