As we continue to grow, we are excited to welcome a dedicated Office Administrator to our team. You will play a crucial role in ensuring the seamless daily operation of our brand new office. You will be responsible for a variety of administrative tasks, all aimed at enhancing our office productivity and forging a desirable workspace culture. If you're a proactive problem solver with a 'can-do' attitude, we'd love to hear from you.

Please be aware that tentatively until mid-May, you may operate under a flexible working arrangement. There may be a temporary phase where you'll work from a coworking space, pending the official readiness of our new office.

This position is a one-year fixed term employment, with the possibility of transitioning into a permanent role. 

Responsibilities

    • Serve as the first point of contact for the company, managing reception and handling general inquiries via phone, email, and face-to-face.
    • Manage office supplies inventory and place orders as necessary.
    • Manage the office budget, keeping detailed records of expenditures and making recommendations for cost-saving strategies.
    • Maintain the office condition and arrange necessary repairs or maintenance with external vendors. 
    • Handle mailing and postage, creating an orderly receive and dispatch system.
    • Liaise with building management and handle facility-related tasks, e.g. fire escape drill. 
    • Contribute to the employee cycle, including but not limited to arranging business card production, managing employee badges, and organizing afternoon tea.
    • Provide support for ad-hoc events, e.g. onsite all hands meeting, shareholders’ meeting. 
    • Assist with the office relocation project.

Requirement

    • This position does not apply to the ‘Remote First’ policy. You will be required to come into the office every day. 

Qualifications

    • 2 years of experience as an office administrator or relevant roles.
    • Excellent time management skills and ability to multitask and prioritize work.
    • Proven ability to problem-solving, communication skills, and adaptability to change.
    • Ability to communicate in English.

Nice to have

    • Previous experience in office relocation.
