About The Role
As an Executive Assistant, you will provide administrative support to C-Suite level executives to ensure they can focus on what they do best. You will need to anticipate the needs of the executives you support and resolve operational and administrative issues before they arise. You represent our company, serving as a great first impression and the initial point of contact for the teams you support. You will be responsible for scheduling, calendar monitoring, incoming requests, emails and calls to appropriate contacts, the flow of correspondence, and more.

What You'll Do

    • Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
    • Maintain the c-suite’s calendars, including scheduling meetings, appointments, interviews, and travel arrangements. Exercise discretion in committing time and evaluating needs.
    • Act as the point of contact among executives, employees, clients, board of directors, investors, and other external partners
    • Manage information flow in a timely and accurate manner
    • Liaison for the C-Suite - providing a bridge for smooth communication between the C-Suite’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
    • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
    • Perform non-administrative ad-hoc projects such as preparing reports and presentations, and gathering insights, research, and information to inform decision making
    • Project manage milestone reporting by working with cross-functional stakeholders to ensure timely delivery as needed
    • All other duties assigned.

What We’re Looking For:

    • 3-5 years of experience as an executive assistant for a high volume team supporting multiple executives and managers
    • Bachelor’s degree recommended or equivalent relevant work experience
    • Strong interpersonal and communication skills, with exceptional focus on detail in written communication
    • Solid analytical and problem-solving skills and a knack for process improvement
    • Exceptional organization and time-management skills
    • Acute attention to detail, nothing goes unnoticed or overlooked
    • Experience working in fast-paced startup environments where the answer is not always known; you’ll be helping us to create and implement strong processes and will play a key role in helping mature us from where we are to where we want to be
    • Able to be flexible, proactive, and easily shift between priorities
    • Excellent independent judgment. Ability to consider, compare, and evaluate different courses of action, and make an informed decision in the best interests of the executive and team
    • Ability to prioritize and quickly escalate potential issues
    • Professional maturity and EQ to understand the relationship between collaborators and activities, handle confidential information, sensitive topics/personalities
    • Experience using Google Suite, Slack, and Zoom is required
    • Familiarity with b2b tech start-up ecosystem including board of directors, investors, clients, etc. is a plus
