In our patient-centered collaborative care model, licensed psychotherapists in the network take on the psychotherapy, while Journey Clinical's in-house medical team takes on patient eligibility, treatment plan and outcome monitoring. Our platform gives psychotherapists passionate about PAP the infrastructure and support required to become empowered KAP providers, while enabling higher standards of patient care and enhanced clinical outcomes.

Journey Clinical is seeking a dynamic and organized Executive Assistant/Office Manager to oversee all administrative functions of our New York office and manage the schedules of our CEO and COO. The ideal candidate will thrive in a fast-paced environment and excel at communicating with C-level executives.

Responsibilities:
-Calendar and Schedule Management: Manage and coordinate the CEO and COO’s calendars, ensuring no conflicts, and scheduling meetings, appointments, and travel arrangements. Prioritize and rearrange schedules as necessary to accommodate urgent issues.
-Meeting Preparation: Review the CEO/COO’s calendars to ensure attendance at necessary meetings, clarifying the purpose and validating their attendance as needed.
-Office Operations: Oversee day-to-day office operations to ensure efficiency and productivity. Maintain office records and files, ensuring they are up-to-date and organized.
-Office Repairs and Maintenance: Oversee office repairs and maintenance, including identifying and hiring contractors, gathering quotes, and supervising work completion. Coordinate office maintenance and ensure a safe and secure work environment.
-Safety and Security: Ensure the office environment is safe and secure, complying with health and safety regulations. Manage security systems and protocols.
-Office Lease Management: Manage office lease agreement renewals.
-Office Coordination: Coordinate office cleaning schedules and plant care. Ensure the office is well-stocked with supplies, snacks, and equipment.
-Event Planning: Plan and coordinate office events, meetings, and conferences, including logistics, catering, and scheduling. Assist in planning and executing on-site events, including arranging food and beverages for the team.
-Travel Arrangements: Organize travel arrangements for the executives, including flights, accommodation, and transportation. Create detailed travel itineraries and ensure the executives have all necessary documents and information.
-Project Support: Assist with or manage special projects, including research, data analysis, and report preparation. Monitor project timelines and ensure deadlines are met.
-Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.
-Miscellaneous Tasks: Provide personal assistance to the executives as needed, including handling personal appointments, errands, and tasks. Anticipate needs and proactively address issues before they become problems.
-IT Coordination: Coordinate with IT support to ensure office technology is functioning properly and address any technical issues. Manage office equipment, including television, wifi, and video conferencing systems.

Qualifications:
- Team player who is passionate, detail-oriented, and an excellent communicator.
- Minimum of 2 years of experience as an executive assistant for C-level executives in a start-up environment.
- At least 3 years of experience in office administration or management.
- Proven experience in managing office repairs and maintenance.
- Interest in the field of psychedelic-assisted psychotherapy to transform mental health.
