Based in Oakland, CA, we offer food services for the workplace, event catering, design commercial kitchens and food programs, and operate a community kitchen. 1% of our revenue supports donated meals made by our charitable arm, Just Fare Community Kitchen. So far, we have delivered over 410,100 meals to communities fighting food insecurity in the Bay Area.

Position Overview
The Administrative Coordinator is a critical role responsible for a wide variety of tasks supporting our growing People Dept team. This role will report directly to the People Operations Specialist, and requires a high level of confidentiality. Additionally, this role requires very strong computer and communication skills, with expert knowledge of Google Suite, and the ability to adapt quickly and learn on the fly. The ideal candidate will take pride in staying extremely organized, and tend to all the details no matter how small. This role will be the glue that keeps our office humming along at peak efficiency and requires someone who doesn't back down from any challenge.

Responsibilities - People/HR:

    • Supports with setting up /onboarding new hires, as well as, assisting current employees with managing platforms and access 
    • Ensure all employee records are organized and all documentation is accounted for
    • Spearhead and organize quarterly gatherings and holiday parties
    • Assist in administration of required trainings, and other compliance efforts, as needed.
    • Support with Recruiting by posting jobs, coordinating interviews, communicating with candidates and managing the pipeline for various positions as needed

Responsibilities - General Admin

    • Able to be onsite daily or as needed, alternating between 2 locations
    • Maintain and organize office supplies, including IT resources (computers, cords, etc)
    • Manage all incoming mail & invoices, and scan to files 
    • Manage Google Suite, and other email accounts as needed
    • Help to keep our online file storage (Google Drive) consistent and organized
    • Help with business permit and license filings
    • Answer the phones, and manage Ooma Office Phone account
    • Coordinate and purchase office supplies
    • Limited IT support troubleshooting computers issues
    • Contribute towards general research and data entry initiatives as needed

Qualifications & Requirements

    • Basic knowledge and interest in HR and General office administration, and internal business operations.
    • Excellent Google Apps proficiency (i.e. Google Docs, Sheets, Slides, etc).
    • Excellent communication skills and basic math skills.
    • Highly organized with a strong attention to detail and follow-through.
    • Flexible with an innate ability to multitask
    • Proven ability to handle confidential information with the utmost discretion
    • Interest in working with a growing food business
    • Experience working with Xero, Asana, Slack and Bill.com (nice-to-have).
    • Courage to think differently, take risks, ask questions and see outcomes as positive no matter the results.
    • Bilingual; Fluent in (English/Spanish) would be a plus!

$29 - $29 an hour
Competitive wages in an equitable tiered pay structure for all positions. Non Negotiable.
Schedule & Expectations
Typical schedules are Monday through Friday with hours dependent on the service. You are responsible for managing your schedule, based on your shift availability, with your supervisor.
Shift Details: This role will be full time, but only work 30 hours a week, with onsite Monday through Friday from 8:30am to 3:00pm.
