Summary

OXMAN is seeking an Operations hire to join an all-star interdisciplinary team of deep thinkers and brilliant makers. We recently opened a new facility with a design atelier, wet lab, and production workshop. The 36,000-square-foot facility is used for a novel research and design practice that seeks to foster systemic changes in the built environment by radically realigning methods of design and production with the natural world.
 
The Operations hire will oversee Construction Management for our new facility, lead end-to-end Facility Operations, and support the team through People Operations. The ideal candidate will have experience leading operations for a physical workplace, managing a small team, and building processes and policies from the ground up. The Operations hire will be responsible for fostering a seamless, supportive, and safe work environment for the OXMAN team.

Core responsibilities

    • Construction Management: Act as main point of contact with construction teams for ongoing buildout of 36,000 square foot facility with an estimated completion date of Summer 2024 
    • Drive alignment between construction team and OXMAN around design requirements, timelines, budget, and priority levels
    • Manage maintenance turnover and punch list times after construction completion

    • Facilities Operations: Oversee end-to-end facility operations across three distinct zones: design atelier, wet lab, and production workshop
    • Manage team of three (Office Coordinator, Lab Manager, and Workshop Manager) and provide cohesive vision for facility design, employee experience, and policies
    • Manage relationships with facility vendors such as building engineers, cleaners, pest control, security, cafeteria, etc. 
    • Oversee safety protocols including general emergency preparedness and specialized policies for the lab and workshop environments
    • Collaborate with the Finance team to administer and improve purchasing processes
    • Manage and troubleshoot IT systems (WiFi, hardware, AV setups, Google Workspace, etc.) with the support of third party IT vendors

    • People Operations: Lead recruiting strategy and hiring operations for 10+ open roles at a time
    • Manage internal company communications including the OXMAN intranet, All Hands meetings, and ad hoc announcements
    • Lead onboarding and offboarding for employees across systems setup, hardware, desk location, and project ramp up
    • Organize 1-2 employee engagement events per quarter including guest speakers, holiday celebrations, and team outings
    • Coordinate with outside counsel to prepare visa applications and support other immigration matters
    • Coordinate with external benefits administrator on employee questions, leave of absences, and other human resource issues

Qualifications & competencies

    • Bachelor’s degree in business administration or relevant field
    • 5+ years of experience in business administration, facilities management, operations, or human resources 
    • Experience overseeing operations for a physical workplace or facility 
    • Ability to work on-site Monday-Friday weekly 
    • People management experience preferred 
    • Proficiency in MS Office, Google Workspace, ERPs, and general office software 
    • Excellent organizational and multitasking abilities 
    • Strong communication and interpersonal skills 
    • Ability to work independently and prioritize tasks effectively
    • Flexibility to adapt to changing priorities in a fast-paced environment

NYC Pay Range: $125,000-$225,000
Salary is based on a number of factors including job-related knowledge, skills, experience, and other business and organizational needs. Our compensation package also includes variable compensation in the form of year-end bonuses, benefits, immigration assistance, and equity participation.
