Position Overview 
Sublime Systems is seeking an Office Manager to support the team and the day-to-day operations of the organization as they enter a period of growth. This role is ideal for an organized, self-starting, and strongly professional individual with previous executive administrative experience. The Office Manager’s goal will be to maximize the efficiency and productivity of the team and complete tasks that keep the office running. 
As a member of Sublime Systems’ small but growing Operations team, the Office Manager role will support the day-to-day core operations of the team, including 1) overseeing the daily operations of an office through execution of business-critical tasks, 2) providing administrative support to the team, and 3) supporting execution of operational priorities including interview coordination and other special projects. administrative support to the team.   
This role requires a large degree of in-person work at our Somerville, MA-based HQ.  Only Boston-based candidates, or those willing to relocate to the Boston area will be considered. To be considered for this role, please include a cover letter when submitting your application. 
Responsibilities include:  
•Own meeting logistics for the company by actively scheduling and managing meeting resources (room booking, AV equipment and video conference set-up) 
•Handle administrative details of candidate interviews including scheduling, sending agendas, and expense management 
•Manage tracking and execution of legal documents (e.g. NDAs, consulting agreements, vendor applications, W9s, etc.) 
•Provide administrative, scheduling, and travel coordination support for the CEO and members of the leadership team as requested    
•Support facilities management, including assigning and setting up desks for new hires 
•Be involved in office layout planning and IT infrastructure maintenance 
•Assist in developing and implementing operational policies, processes, procedures, and workflows applicable to operations team and other departments as needed 
•Support team social events, birthday celebrations, and other opportunities to promote team cohesion 
•Maintain office supplies and snacks inventory and place orders when required 
•Ownership of mail and packages, both incoming and outgoing 
•Be able to rapidly take on new responsibilities in a fast-paced growth environment 
Knowledge and Skill Requirements 
•High school diploma required. Associate degree or higher is desired. 
•3-5 years of experience in providing administrative support to a high growth company
• 2+ years of experience supporting such corporate functions as accounting, purchasing, human resources & facilities
• Proficiency with Microsoft 365 (including Word, PowerPoint, Outlook, Calendar)
• Proficient with various video conferencing platforms such as Zoom & MS Teams
• 1-2 years of previous experience with SAAS or cloud based administrative tools 
•Relevant experience displaying initiative and project leadership  
•Exceptional, professional oral and written communication skills  
•Able to manage competing priorities/operating independently in a fast-paced environment 
•Meticulous attention to detail; strong planning and critical thinking skills  
•Can-do attitude & an eagerness to learn 
•Comfort with the fast-paced nature of a startup; ability to receive, prioritize and react to information with little oversight and adjust
•Strong decorum, professionalism, and ability to be discreet in the handling of highly sensitive company information.  
•Strong relationship building and interpersonal skills  
•A high tolerance for ambiguity, positive attitude, and bias for action 
•Ability to work independently and take initiative on self-directed projects
