Job Summary: 
The Program Manager manages all aspects of AHS Dental Residency Program including all resident recruitment coordination, residency office management, and continuous accreditation readiness. Under the supervision of the Senior Dental Operations Manager, works closely with the Chief Dental Officer, Resident Program Director and other providers to provide a high quality, comprehensive, and patient centered learning and clinical experience. Provides other administrative support to the Dental Department, including service expansion, staff/ resident training and development, and other duties and needed. 

Essential Job Functions

    • The Program Manager plays a critical role in helping AHS Dental Department advance on its strategic priorities of expansion and workforce development. These duties include:
    • Convene and lead an internal multi-departmental team to obtain and ensure ongoing accreditation from accreditation bodies needed to establish a dental residency program (i.e., Accreditation Association of Ambulatory Health Care and Commission on Dental Accreditation);
    • Primarily responsible for managing the Dental Residency Program; including managing program administrative staff and coordinating trainings and activities required for establishing and operating the residency program.
    • Works closely with the Residency Program Director and team to plan, develop and establish a dental residency program;
    • Coordinates resident recruiting and selection;
    • Works with the Residency Program Director to coordinate resident orientation, on-boarding and graduation activities; 
    • Works with administrative staff to coordinate resident clinical, and didactic program participation; 
    • Serves as the liaison between the Program Director and the academic consortium and will act as the liaison between residents, leadership, faculty and associated staff/ volunteers;
    • Responsible for all resident coordination, residency office management, and continuous accreditation readiness;
    • Coordinates faculty development activities, under the direction of the Residency Program Director/ Chief Dental Officer;
    • Provides administrative support and correspondence regarding all aspects of the dental residency program; 
    • Assists in oversight of resident’s clinical and didactic schedules;
    • Manages and updates the policies and procedures of the residency program;
    • Maintains all necessary documentation for faculty and support staff of the residency program; 
    • Schedules and coordinate team meetings, and documenting and following-up on key action items;
    • Assists in facilitating communication between the Program Director and academic consortium; 
    • Coordinates and participates in dental residents’ recruitment activities; 
    • Analyzes internal processes and recommends and implement procedural or policy changes to improve the efficiency of the dental residency program;
    • Works closely with the Chief Dental Officer and/or Program Director, Senior Dental Operations Manager, and Registered Dental Assistant Supervisors, to ensure excellent communication among management and line staff, and smooth operation services as needed;
    • Orients dental student externs on Dentrix and monitor their schedules;
    • Ensures compliance with documentation and reporting requirements for the Dental Residency Program;
    • Collaborates with program Director and the supervisor on the preparation and submission of reports to institutional and oversight agency;
    • Assists with other dental departmental program activities as assigned by the supervisor;
    • Prepares progress and final reports for grants and contracts as well as for internal progress reporting;
    • Works closely with Residency Program Director/ Chief Dental Officer on program budgets, including tracking expenses; 
    • Supports Dental Department leadership and management on key initiatives

Minimum Qualifications

    • A Bachelor’s degree (B.A.) in public health, health administration or related health field setting and two years of experience in program management or equivalent combination of education and experience.

Preferred Qualifications

    • Experience in residency program management highly desirable
    • Knowledge of CODA requirements
    • Dental experience preferred

    • Proficiency in Microsoft Office applications, with intermediate to advanced level competency in Excel and PowerPoint. 
    • Ability to work collaboratively with other AHS supervisors and managers with a focus on customer service and quality of care, exemplifying the core values and mission of the organization. 
    • Excellent communication skills at the level necessary for understanding patients and provider or supervisors' instructions. 
    • Ability to effectively communicate with the patient population and staff while demonstrating a high degree of diplomacy and tact. 
    • Exercises sound independent judgment within the scope of authority and practice.
    • Easy facility and adaptability to working with computers and software applications.
$87,262 - $89,641 a year
