JOB SUMMARY:
Overall responsibility for accounts payable and related accounting duties under the supervision of the Accounting Manager. Responsibilities include preparation and processing of weekly accounts payable (AP) and related journals to the general ledger (GL), and producing AP-related reports in SAGE. It is expected that 75% of this role will be spent performing Accounts Payable duties and 25% will be other accounting tasks assigned by the Accounting Manager

Essential Job Functions

    • Process invoices and check requests for Accounts Payable.
    • Process EFT vendor pmts, including setting up vendor profile and payment requests info through the electronic bank module and securing proper approvals from Chief Financial Officer/Chief Deputy Administrator.
    • Responsible for weekly limited AP processing for assigned vendors only. This includes collecting AP Invoices and supporting documentation, securing approvals, and general ledger (GL) coding, and entering transactions into accounting software by established date to coincide with the weekly AP check run.
    • Responsible to resolve AP vendor issues for assigned vendors.
    • Guide and review the work of the Accounting Assistant, advising of corrections and changes before the check run.
    • Serve as backup to Accounting Assistant as needed to print the weekly check run, acquire signatures and mail/disburse as appropriate.
    • Prepare and disseminate accounts payable reports for management staff as needed.
    • Responsible for Gift card reconciliations. Works closely with Purchasing staff to account for gift card purchases, maintain inventory reports, code, and post to GL. Produces quarterly reconciliation and report to Accounting Manager. Advises Accounting Manager of issues beyond purview.
    • Post reconciling journal entries as assigned.
    • Review monthly AP vendor statements for accuracy and reconcile/resolve issues as needed.
    • Produce annual 1099 run, resolving vendor issues and submitting annual documentation to the Social Security Administration.
    • Under the supervision of the Accounting Manager, assists in annual outside audit and budget preparation.
    • Responsible for monthly prepaid and suspense reconciliation to include collecting statements and receipts, securing approvals, and GL coding from cardholders, entering transactions into accounting software.
    • Serve as backup to Payroll Coordinator as needed.
    • Other duties as assigned.

General Agency/AHS Duties

    • Fosters an environment that promotes trust and cooperation among clients and staff.
    • Enforces clinic policies and procedures, including maintenance of client confidentiality under HIPAA privacy rules, to ensure that the principles of AHS are implemented.
    • Plays an active role in planning organization-wide activities such as AHS general membership meetings, fundraisers, special clinic days, and other events.
    • Participates in general membership meetings, fundraisers, and other public events, as required.
    • Participates in outreach activities, agency advocacy, and serves on ad hoc committees, as requested.
    • Attends AHS staff retreats and Board of Directors meetings, as required.
    • Participates in agency-wide quality improvement program processes and performance improvement teams to ensure excellence in the quality of services provided across the agency.

Minimum Qualifications

    • AA degree and a minimum of one year of accounting experience for accounts payable or equivalent combination of high school diploma/GED and two years accounting experience acceptable

Preferred Qualifications

    • College coursework in Accounting
    • ADP/SAGE software experience
    • Experience in FQHC or health care

Knowledge, Skills & Abilities

    • Strong analytical, planning, and problem-solving skills
    • Ability to perform routine clerical accounting work and perform arithmetic calculations with speed and accuracy
    • Ability to work collaboratively to achieve common goals and communicate within different levels of the organization.
    • Proficiency with Microsoft Office applications, with intermediate to advanced level competency in Excel and PowerPoint
    • Knowledge of modern office procedures, methods, and equipment including computers and designated supporting applications.
    • Ability to multi-task and work effectively in a high-stress and fast-moving environment.
    • Ability to examine documents for correctness and completeness.
    • Ability to understand and interpret policies and regulations.
    • Strong written and verbal communication skills.

$64,915.50 - $67,275 a year
