💡 The Mission

The Office Manager Assistant (OMA) lends essential support to ensure the success of the Workplace Experience Team.
It is a dynamic role that requires strong initiative, fast-thinking, and an amical demeanour to timely meet requests in order to:
- Enhance Alaner's experience, regardless of where they are based ;
- Ensure Alaner workflow by providing them with the right materials and tools :
- Facilitate Alaner's life at our Valmy, Paris office ;

A high level of organization and prioritization is essential to treat the influx of tasks and questions via several communication channels.
Communicating clearly, learning on the go and pragmatic reasoning are big assets to fulfilling this role.

The OMA should carry out their tasks in correlation with our Alan Leadership Principles.

🤸 Weekly tasks

    • The following points summarize the tasks they must keep under their radar in a normal workweek. The nature of this role requires the OMA to be present at the office during business hours, from 9h to 18h, and weekly, from Monday to Friday.

    • Life at the Office
    • Main POC for Welcome Desk
    • Mail management
    • Couriers management
    • POC for service providers
    • Order daily lunch with FRICHTI
    • Oversee drinks and snacks including for special events
    • Upkeep and animate office spaces (kitchen, meeting-rooms, storage-rooms
    • Manage office supply inventory and place restock orders
    • Coordinate with OMs and a handyman for large furniture installations and general building maintenance

    • Admin Tasks
    • Follow-up with service providers
    • Follow-up on delivery lost and damaged deliveries.
    • Locker requests
    • Office supply needs/orders

    • Internal Slack Communication
    • Respond in rotation with OMs to @office_oncall ping
    • Sync with OMs about sports perks and keep Alaners updated

    • IT Logistics
    • Manage IT equipment inventory and place restock orders
    • Receive and take inventory of new products
    • Manage, prepare and ship home equipment orders
    • Prepare and ship newcomer Welcome Packs

    • Office Events
    • Participate in the Office events organization and ops tasks
