The Special Assistant to the CFO will serve as the right hand to Aledade’s CFO on all operational elements of the Finance Team, especially focused on maximizing time effectiveness and team development. 

The role facilitates the effectiveness of Aledade’s Finance Leadership Team through collaboration with key stakeholders and colleagues in a fast-paced environment, as well as engaging in special projects.

Primary Duties:

    • Calendar Management: Optimize the CFO’s time by strategically managing calendars, including internal and external commitments; and ensure that Finance Leadership team’s schedules and meeting governance are followed and respected to optimize schedules & meeting conflicts are proactively resolved.
    • Meeting & Process Governance:  Proactive management / follow-up from weekly finance leadership meetings, monthly team meetings, bi-annual team retreats, and other finance team standard processes. Work within & across teams to ensure high profile meeting materials are completed on time. 
    • Project Coordination and Reporting: Oversee and manage special projects, ongoing initiatives and reporting, ensuring timely completion and alignment with business objectives. Maintain and monitor project timelines, deliverables, and milestones, providing regular updates to team members — taking accountability for ensuring work is prioritized and completed within the Office of the CFO and across the organization. Ensure key workstreams are followed through to completion; partnership with HRBP to ensure progress on finance team development priorities (e.g. development of career pathing).
    • Process Documentation and Improvement: Develop and maintain standard operating procedures (SOPs) and Process Improvements for administrative tasks and responsibilities.
    • Executive Administrative Support: Provide administrative support to Finance executives (SVP+), including coordination of travel arrangements and itineraries; supporting onboarding and offboarding efforts of employees; preparing and submitting expense reports; coordinating logistics for meetings and special events; assisting with company events and team retreats; prioritize and track inbound communication to assigned executives — including meeting requests, information requests, etc. 

Minimum Qualifications:

    • 6+ years of relevant work experience, with 3+ years of direct experience as an executive administrative assistant preferably in a health care finance setting
    • Available to work across various time zones and/or non-traditional working hours on occasion, as needed
    • Commitment to confidentiality and discretion in appropriately handling sensitive information is required
    • Based in Bethesda area with flexibility to telework when not in office; able to work in-office at least one or more times per week from Aledade’s downtown Bethesda office, as agreed upon in discussion with CFO 

Preferred Qualifications:

    • In-depth understanding of Finance-specific executive team operations
    • Exceptional verbal and written communication skills 
    • Poise, confidence, and maturity interacting with key stakeholders 
    • Ability to build strong relationships and work with individuals at all levels of the organization 
    • Highly efficient in managing multiple concurrent diverse tasks and projects 
    • Ability to use independent judgment and work under pressure on competing responsibilities with resilience, and a high level of ownership
    • Ability to manage complex calendars and negotiate scheduling across multiple executives 
    • Strong organizational and time-management skills; attention to detail and problem-solving skills
    • Strong intuition for exercising discretion and confidentiality
    • Fluency in Google Workspace (Gmail, Google Sheets, Google Docs, Google Slides) preferred
    • Bachelor’s degree in Business Administration, Finance, Health Care, Management, or related field preferred

Physical Requirements:

    • Sitting for prolonged periods of time. Extensive use of computers and keyboard. Occasional walking and lifting may be required.
    • Available to work across various time zones and/or non-traditional working hours, as needed
    • Must be able to work in our Bethesda, MD office at least 1 day/week and as needed / agreed upon with CFO
