Summary
The Facilities Manager is responsible for supervising the planning, coordination, and support of campus facilities. This includes, but is not limited to, management of company current and long-term HQ seating plan, optimization and analysis of on-site amenities, technology etc. to encourage employee engagement and productivity, management of facilities ordering and invoicing, oversight over badging and visitor procedures and other duties as assigned.

Minimum Requirements
Combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.
Education: Bachelor’s Degree
Years of Experience:
•Minimum three (3) years of demonstrable experience with Facilities including hands-on Facilities site management and vendor relationship management.
•Minimum three (3) years of management and Staff Supervision.
•Possess strong project management and organizational skills.
•Proficiency at writing correspondence, negotiation strategy, preparing change orders and cost summary reports.
•Strong communication skills to navigate projects involving other departments and leadership.
•Self-starter with the ability to work independently and with others, possess strong leadership and conflict resolution skills and have the ability to manage multiple projects.
•Skills necessary to monitor budgets and provide schedule and cost updates.
•Proficiency in various Microsoft products a must (Office, Excel, Outlook, etc.).
•Proven ability to maintain confidentiality.

Job Duties
•Own long-term seat planning and facilities optimization projects including setting new standards and developing procedures to support a viable long-term growth plan.
•Coordinate with IT and other parties to ensure conference rooms etc. are to set standards.
•Supervise facilities front desk staff.
•Negotiate and oversee the execution of contracts for copier equipment, office supplies, office furniture, cleaning services, US Postal service, couriers FedEx, landscaping, security services, as well as other essential services.
•Manage the master schedule for a range of furniture, fixture and equipment installations for the corporate headquarters, working directly with internal stakeholders, vendors and third party contractors from scoping, project plan and budget development, bid process, contract award through installation and acceptance.
•Resolve conflicts with staff related to workstation installations and seating of staff/departments.
•Develop and maintain viable long-term relationships with contractors and subcontractors. Ensure all parties understand the expectations of projects and ensure all stay within budgets and meet deadlines.
•Oversee and manage departmental moves and staff relocation within HQ.
•In conjunction with the Facilities department staff, maintain all space allocation, security of all company mail, furniture and equipment, to provide a safe and comfortable environment.
•Review Facility work orders/email requests to ensure assignments are completed within acceptable time.
•Maintain list of all Facilities vendors and service contracts and their status.
•Implement a fire safety/emergency action plan at Allegiant headquarters, ensure compliance with OSHA requirements.
•Review and revise contracts for leased equipment, security, construction projects and building services.
•Review and approve all invoices for the department, ensure correct department billing codes are in place.
•Negotiate volume discounts with all vendors serving the department.
•In conjunction with the Procurement team, conduct competitive/triple bid process for all Facilities related services.
•Identify training needs, track performance, coach, and motivate direct reports. Responsible for hiring and performance evaluation.
•Coordinate cross training of all Facilities staff.
•Maintain confidentiality.
•Ensure any direct reports understand and apply our Customer Commitment and customer service standards to their daily responsibilities, as appropriate.
•Model Allegiant’s customer service standards in personal actions and when providing leadership direction.
•Other duties as assigned.

Office - While performing the duties of this job, the Team Member is regularly required to stand, sit, talk, hear, see, reach, stoop, kneel, and use hands and fingers to operate a computer, key board, printer, and phone. May be required to lift, push, pull, or carry up to 20 lbs. May be required to work various shifts/days in a 24-hour situation. Regular attendance is a requirement of the role. Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.
