Allied is looking for a Contract Specialist to join our team.

This newly created role is designed to bring greater rigour, standardization and oversight to how Allied manages its contracts (excluding leases and other lease documentation).

In this crucial role, you’ll oversee the entire contract lifecycle and work closely with internal teams (including Legal, Operations, Accounting, Technical Services, Development and Technology) and with external partners to draft, review, analyze, negotiate and manage a wide range of commercial contracts, ensuring clarity, consistency and alignment with Allied’s strategic, legal and financial objectives and corporate policies.

This role will help Allied implement and build a standardized approach to contract management. You’ll help to shape processes, policies and practices with respect to contract management from the ground up, while acting as a trusted resource to teams across the organization.

What will you do?

    • Draft, revise, negotiate and manage a variety of commercial contracts, including service agreements.
    • Review and analyze contract terms to ensure compliance with internal policies and legal/regulatory requirements.
    • Partner and collaborate with teams across the organization (including Operations, Accounting, Technical Services, Development and Technology), to provide contract guidance and risk analysis.
    • Ensure compliance with Allied’s procurement policies.
    • Track and manage the full contract lifecycle from negotiation through to execution, renewal and closeout.
    • Identify potential risks associated with Allied’s contracts (including any deviations from Allied’s standard forms and/or any non-standard contractual terms) and implement strategies and provide recommendations to mitigate such risks.
    • Maintain an organized system of digital records of all commercial contracts to ensure contracts are easily accessible for relevant stakeholders.
    • Escalate complex legal matters relating to contracts to internal counsel, while serving as the first point of review for Allied’s standard agreements.
    • Contribute to process improvement efforts and assist in the development of internal contract management systems and training on contract management procedures, guidelines and best practices.

What are we looking for?

    • You hold a degree (Bachelor’s or Master’s degree) or college diploma in Business Administration, Commerce, Law or a related field (including law clerk or paralegal programs).
    • You have at least three (3) years of hands-on experience drafting, reviewing, negotiating and managing complex commercial contracts, ideally within a large real estate or professional services organization.
    • You have a strong understanding of contract management processes and best practices (including contract lifecycle management tools) and are capable of assessing and mitigating risk to the organization.
    • You have exceptional attention to detail and demonstrate superior critical and analytical thinking (including elite problem-solving abilities).
    • You possess excellent negotiation and communication skills, and you’re comfortable managing multiple tasks and priorities at once.
    • You are a clear, professional communicator who can explain complex terms in plain language.
    • You can work both independently and collaboratively as part of a team in a fast-paced environment, liaising across departments and seniority levels.
    • You are proficient with contract management software and Microsoft Office.
    • Bilingualism (English and French) is an asset.
