Responsible for ensuring projects and associated contracts are appropriately set up, in addition to supporting the Utility Manager throughout project implementation. Administer a variety of construction and service contracts and regulatory compliance items which contain terms, conditions, reporting requirements, and/or administers specific phases of contracts.

Duties & Responsibilities

    • Assists in the preparation of contract documents, work authorizations, internal accounting setup, invoicing during pre-award solicitations and post-award project administration.
    • Administers ongoing contract items, progress reports, presentation updates, and communicates with other team members to receive required deliverables (submittals, drawings, specifications, etc.) as required by contracts and schedules.
    • Assist with setting up electronic files and recordkeeping for utility maintenance and construction projects.
    • Assists with monitoring of project budgets, procedures/controls, schedules, and change orders.  
    • Updates, maintains, and communicates project information in spreadsheets and databases.  Drafts and prepares e-mails and correspondence. Maintains project files in accordance with filing procedures.
    • Assist in researching and compliance with Federal Acquisition Regulations and other contract requirements. 
    • Assist with small business recruiting and subcontract usage reporting.
    • Receives and reviews regulatory compliance and utility operations performance data to prepare and issue periodic summary reports.
    • Monitors telecommunication Structural License Agreements and assists with preparing amendments and rent adjustments.  Prepares construction Notice to Proceed and receives/files construction as-built records.
    • Other tasks as directed by the Utility Manager, including but not limited to, attending meetings and taking notes, supporting data requests, and assisting with reporting requirements.

Minimum Required Qualifications

    • 2-3 years of experience relative to the position.
    • Bachelor’s degree or equivalent experience.

Skills

    • Proficient with Microsoft Excel, Word, Adobe Acrobat.
    • Ability to exercise judgment, discretion and critical thinking and to set priorities and manage competing demands.
    • Demonstrate a reliable, responsive and positive work ethic with the highest degree of integrity.
    • Excellent communications skills, both written and verbal.
    • Ability to learn new tasks quickly.

Physical/Mental Requirements

    • Physical Requirements:  This position involves a combination of standing, sitting and walking throughout the day.
    • Mental Requirements:  This position requires the ability to view and comprehend information and emails on computers.  Also required are strong communication skills (verbal and written), the ability to problem solve, interpret information, and draw conclusions to complete work tasks.  Strong attention to detail and accuracy of work product is also required as well as the ability to effectively handle conflicting priorities.
