The Opportunity:
Our Chief Science Officer, Prachee Avasthi, needs an Executive Assistant who thrives on a variety of tasks, from managing complex schedules to keeping our operations running smoothly. The EA will handle calendar management, work closely with the CSO and Chief of Staff on various initiatives, and own company operations ranging from catering to managing internal and external engagements. This person must be resourceful and thrive in a dynamic, results-focused start-up atmosphere. 

The ideal candidate is a smart generalist who picks things up quickly and have an interest in biotech (or is looking to break into it). You’re someone who responds quickly and thoughtfully, exercises good judgment, and communicates clearly and concisely. You’re highly organized, pay attention to detail, and actually enjoy creating systems that prevent problems before they happen. You strive for efficiency in all you do, including automating workflows where possible. Experience with AI and other new technologies is important as we use these tools across Arcadia. You work well under pressure, and will be managing a wide range of tasks and confidential issues with discretion. This is a high growth opportunity, with the potential to quickly expand in scope and strategic responsibilities.

Responsibilities:

    • Coordinate CSO-driven projects and initiatives, managing logistics and communications.
    • Support special projects ranging from event planning to new operational initiatives.
    • Prepare meeting materials and briefs to keep the CSO well-informed and prepared.
    • Screen and respond to external inquiries, knowing what needs immediate attention.
    • Approach all responsibilities with high integrity, discretion and sound judgement.
    • Manage and prioritize a dynamic schedule at Arcadia and externally.
    • Own office operations: inventory management, vendors, catering coordination, and facilities management.
    • Handle a variety of administrative and office management responsibilities with a keen eye for detail.
    • Draft clear, professional emails and memos with meticulous attention to detail.
    • Organize and oversee the executive’s engagement activities and travel arrangements.
    • Take on additional responsibilities as our needs evolve - startup life means wearing many hats.

Preferred Experience:

    • 2+ years of experience in a fast-paced environment (startup, research lab, internship, or similar). Recent grads are welcome but ideally with demonstrated experience in some of the core responsibilities above.
    • Ability to identify problems before they become problems and implement creative solutions.
    • Self-directed problem solver who takes initiative without waiting for instructions.
    • Comfortable with both executive support and hands-on operational work.
    • Science background or technical aptitude a plus.

Compensation:
The expected salary range is $100,000-$140,000 per year with generous equity and benefits, depending on experience level. The position will require you to be on-site, 5 days per week at our Emeryville, California headquarters.
