Ashoka is a global organization that has pioneered the field of social entrepreneurship and supports the world’s leading changemakers. We are looking for a highly organized, proactive, and systems-minded Transcription and Correspondence Associate to partner closely with our CEO and Executive Office.

This role is ideal for someone with a sharp ear for language, strong research instincts, and the ability to create order out of complexity. You’ll transcribe, proof, and polish executive communications; support research and briefing efforts; and maintain key systems that help leadership operate effectively. This role sits at the intersection of communication, operations, and high-level support. This is a contract role, with an estimated 20 hour per week commitment.

What You'll Do:

    • Transcription & Communication
    • Transcribe digital audio files from the CEO, including letters, memos, responses to emails, and meeting notes.
    • Proof and polish communications to ensure clarity, tone, grammar, and alignment with organizational voice.
    • Create and edit briefing materials for executive meetings and board communications.
    • Support mass mailings and other outreach efforts in coordination with the Executive Office and other Ashoka Teams.

    • Research & Briefing
    • Conduct background research on individuals, organizations, and topics relevant to the CEO’s priorities.
    • Prepare concise, well-organized briefs to inform meetings, decision-making, and strategic outreach.
    • Assist with ongoing projects that require synthesis and contextualization of information from multiple sources.

    • Systems & Organizational Support
    • Maintain physical and digital archival systems, including organizing the CEO’s documents, books, and files.
    • Support upkeep of Salesforce records for individuals and organizations connected to the CEO’s work.
    • Contribute to long-term operational projects and offer responsive support to the Executive Office team.

What You Bring:

    • Excellent listening and transcription skills, with the ability to capture voice and nuance.
    • Impeccable writing skills, with a sharp eye for proofreading and editing.
    • Experience creating briefs or summaries for executives or senior leaders.
    • Strong research skills, including evaluating sources and distilling complex information.
    • Ability to work with discretion and maintain confidentiality at all times.
    • Highly organized, responsive, and attentive to detail—you don’t let things fall through the cracks.
    • Comfort working with Salesforce or similar databases (experience a plus).
    • Strong working knowledge of Microsoft Office and transcription tools.
    • Experience with or openness to learning hearing interpretation and audio processing (a plus).
    • A bachelor’s degree or equivalent experience is a plus.
