Job Description:

A fast-growing nationwide private hibachi catering company is seeking a reliable and detail-oriented Customer Service & Vendor Coordination Virtual Assistant to manage client inquiries, event bookings, and vendor communications. This role involves balancing customer service with back-end coordination to ensure smooth event operations.

Key Responsibilities:

    • Respond to customer inquiries via email and SMS (SendBlue platform)
    • Process event bookings and confirm details with customers
    • Communicate with multiple vendors to confirm availability, request travel fees, and assign jobs
    • Maintain and update event tracking in Google SheetsAssist in preparing FAQs and client communication templates
    • Provide occasional phone support for urgent client calls (not primary channel)
    • Coordinate table and chair rentals for events when needed
    • Ensure timely and accurate booking confirmations to clients and vendors
    • Offer weekend support occasionally for urgent matters (with overtime pay)

Must-Have Qualifications:

    • Strong written and verbal English communication skills
    • Previous customer service experience (email/SMS preferred)
    • Vendor or supplier coordination experienceProficiency in Google Sheets (basic navigation, copy-paste, data entry)
    • Ability to work independently with minimal supervision
    • Excellent attention to detail and organizational skillsComfortable working EST afternoon/evening hours
    • Flexibility for occasional weekend coverage
