Company Background
We are a custom home builder based in New Jersey, USA, seeking a dedicated Virtual Assistant to replace our current bookkeeper/assistant role. Our bookkeeping is now managed by a separate remote team, allowing the VA to focus on administrative and communication tasks.
Role and Responsibilities
The Virtual Assistant will handle the following tasks:
Respond to client and vendor calls and emails promptly
Prepare contract documents using provided templates
Facilitate internal communication between teams
Perform general administrative tasks (no physical tasks like scanning or filing)
Plan and coordinate travel arrangements
Support task prioritization and follow-ups using provided tools
Software and Tools
Dropbox: For file storage and management
Trello: For task assignment and prioritization
Automated Email Reminders: For due dates and weekly tasks
OpenPhone: For call management (to be arranged separately)
Communication Platforms: Slack, WhatsApp, email, or Zoom (based on client preference)
Work Schedule and Expectations
Hours: Full-time, 40 hours/week, 8:00 AM - 4:00 PM ET
Overtime: Optional, based on candidate interest
Training: Initial training provided, followed by minimal micromanagement
Communication: Direct and responsive via Slack, WhatsApp, email, or Zoom
$800 - $800 a month
