About the Role
We are seeking a dedicated Executive Assistant / Personal Assistant (EA/PA) to support two busy professionals in both their personal and professional lives. The couple is currently in the process of acquiring a business while managing demanding full-time careers (Amazon strategy/operations and hedge fund management).This role is ideal for someone who can balance administrative, inbox/email management, research, light bookkeeping, and family-related tasks with discretion and proactivity. The
assistant will help streamline daily operations, manage schedules, and provide flexible support across business and household needs.

Key Responsibilities
Administrative & Scheduling
● Manage calendars for professional, family, and school events.
● Schedule, update, and edit appointments (personal and business-related).
● Coordinate travel arrangements (flights, accommodations, restaurants, activities).
● Organize and maintain digital files and notes for quick access.
Inbox & Communication Management
● Manage personal inbox to start (filter, flag, draft replies); potential to expand into
professional inbox support later.
● Draft, edit, and send correspondence on behalf of principals.
● Ensure timely responses to priority communications.
Personal Assistant Support
● Handle family-related scheduling (school calendars, activities, doctor’s appointments).
● Assist with personal errands such as booking appointments, ordering gifts, or
coordinating household tasks.
● Act as a remote receptionist if needed (via VoIP such as Open Phone).
Business Support
● Conduct research related to business acquisition opportunities.
● Track expenses and assist with light bookkeeping for projects.
● Collect and summarize data into organized weekly reports.
● Provide support with email correspondence and document preparation.

Must-Have Qualifications

    • 3+ years of experience as an Executive Assistant, Personal Assistant, or Virtual Assistant.
    • Strong organizational and multitasking abilities.
    • Proficiency with Google Workspace / Microsoft Office.
    • Ability to manage confidential information with discretion.
    • Excellent written and verbal communication skills
    • Proactive problem-solver with strong attention to detail. 

Nice-to-Have Skills

    • Light bookkeeping or accounting experience.
    • Research and data analysis/reporting skills.
    • Familiarity with scheduling tools, VoIP systems (Open Phone, RingCentral, etc.), or CRM tools.
$500 - $700 a month
Type: Part-Time (20 hrs/week), with potential to expand to Full-Time (40 hrs/week).
Schedule: Eastern Standard Time (EST) alignment preferred, with flexibility.
