Job Description

We are seeking a Full-Time Executive Virtual Assistant to support a mobile medical imaging company that provides ultrasound services to medical offices. This role will serve as the frontline for client communications while managing a range of administrative and operational tasks.

The ideal candidate will be professional, detail-oriented, and comfortable handling both administrative work and patient-related communications in a healthcare setting.

Responsibilities

    • Answer inbound calls and messages from medical offices and patients
    • Manage shared inboxes and VOIP messaging systems
    • Handle scheduling, calendar management, and appointment coordination
    • Provide client support (locating patient studies, sharing studies with other offices, responding to requests)
    • Assist with administrative tasks to support day-to-day operations
    • Maintain professionalism when interacting with medical staff and offices
    • Collaborate directly with the executive to anticipate needs and streamline processes

Must-Have Qualifications

    • 3–4+ years of experience as an Executive Assistant / Administrative Assistant
    • Previous experience in a healthcare or medical office setting (strongly preferred)
    • Excellent written and verbal communication skills (clear, professional phone manner required)
    • Strong organizational skills with the ability to multitask
    • Proficiency with shared inboxes, scheduling tools, and VOIP/phone systems
    • Reliable laptop and high-speed internet connection
    • Availability to work Eastern Time Zone business hours (9 AM – 5 PM EST)
    • Comfort handling patient-related information (HIPAA familiarity a plus)
