Job Description

Support a busy videography/doc production studio with core administrative and financial tasks. You’ll handle QuickBooks invoicing/payroll, build client quotes/proposals using a pricing menu, manage tedious client-portal invoice submissions, coordinate vendor payments, and conduct light research on documentary grants/opportunities. Role may expand to inbox/calendar management once trust and workflow are established.

Responsibilities

    • Create and send invoices in QuickBooks; track payments and simple payroll runs.
    • Complete invoice submissions via a client portal (time-consuming but straightforward).
    • Build quotes/proposals from a set pricing menu; draft and format for client review.
    • Research: documentary funding/grant opportunities; maintain a simple tracker.
    • Vendor/AP support: pay invoices (within approved process), reconcile basic details.
    • (Growth) Light inbox/calendar management; draft replies either “on behalf of” or as a named assistant per client preference.
    • Ad-hoc admin tasks as priorities shift week to week; maintain clear status updates.

MUST-HAVE

    • QuickBooks proficiency (invoicing + basic payroll).
    • Experience with client portals or structured submission systems.
    • Strong administrative/finance ops background (invoicing, AP, basic reconciliations).
    • Excellent written English; professional, concise proposal writing.
    • Organization & follow-through across shifting weekly priorities.
    • Discretion & data security comfort (password managers/one-time pass, card-on-file tools).
    • Ability to collaborate in Central Time overlap.

Nice to Have

    • Grant/funding research experience (film/doc space).
    • Proposal formatting/design polish (Docs/Slides/Canva).
    • Gmail/Google Calendar management; basic excel/sheets skills.

Tools / Systems

    • QuickBooks, Gmail/Google Calendar, Google Drive/Docs/Sheets; client invoice portal; password manager/one-time pass workflow (e.g., OnePass-style); bank payment workflows (with monitored, card-on-file methods).
