Job Description

We are seeking a highly organized and proactive Executive Assistant to support a growing fractional CFO and accounting services firm. The role will focus on calendar management, client communication, inbox management, and light finance-related admin tasks.
This position is ideal for someone with strong organizational skills, excellent communication abilities, and comfort working in fast-paced, entrepreneurial environments. While an accounting background is not required, familiarity with finance tools is a plus.

Key Responsibilities

    • Manage executive calendar, schedule client meetings, and coordinate availability
    • Monitor and manage email inbox; draft and send professional client communications
    • Follow up with clients regarding scheduling, deliverables, and updates
    • Maintain SharePoint and organize Microsoft 365 files and records
    • Support with light QuickBooks tasks (basic entries, client routines, admin support)
    • Assist with back-office administration as needed
    • Ensure tasks are completed accurately, on time, and with attention to detail

Must-Have Qualifications

    • 3–5+ years of professional Virtual Assistant / Executive Assistant experience
    • Strong skills in Microsoft 365 (Outlook, SharePoint, OneNote basics)
    • Excellent English communication skills (written and verbal)
    • Highly organized, proactive, and able to manage competing priorities
    • Experience handling client-facing communications in a professional setting
    • Familiarity with QuickBooks is preferred (not mandatory but a strong plus)
    • Ability to work aligned with US Eastern Time schedule
