Construction Administrative Assistant (with Light Bookkeeping & Project Support)

Key Responsibilities:

Handle construction administrative tasks, including:

Collecting and tracking Certificates of Insurance
Contacting utility companies for payments, account numbers, and service coordination
Following up on vendor orders, delivery timelines, and confirmations

Perform light bookkeeping support:

Upload and organize receipts
Match receipts to transactions in accounting system (training & SOPs provided)
Assist with generating simple reports

Provide general administrative support:

Document management using Google Suite
Organize project files and ensure accurate record-keeping
Assist with light project management tasks over time (tracking deadlines, updating logs, coordinating with contractors and vendors)

Must-Have Skills & Qualifications:

    • Background in construction administration (residential preferred; commercial also acceptable)
    • Strong organizational and multitasking skills
    • Proficiency with Google Suite (Docs, Sheets, Drive)
    • Excellent English communication skills (written & verbal)
    • Ability to learn and adapt to new construction apps/tools (e.g., Raken – training provided)
    • Detail-oriented and proactive in follow-ups

Nice-to-Haves:

    • Experience working with Spanish-speaking contractors (bilingual in Spanish is a plus)
    • Familiarity with construction project management processes
