Job Description
We are seeking a proactive Executive Assistant / Project Manager to serve as a right hand to a nonprofit executive and creative entrepreneur. The role involves supporting multiple ventures, including nonprofit leadership, creative production (film & consulting), and community initiatives.
The ideal candidate will be highly organized, strong in project management, and able to build and maintain communication systems that allow the client to focus on high-level strategy and growth.
Start part-time (20 hrs/week) → option to scale to full-time (40 hrs/week)
Key Responsibilities
- Act as executive assistant and project manager across nonprofit, creative, and consulting ventures
- Build, streamline, and manage communication and organizational systems (Notion, Google Workspace, AI tools)
- Support daily operations, scheduling, reminders, and task tracking (Mac/iPhone integrations)
- Assist with creative production project workflows, timelines, and deliverables
- Ensure proactive communication, follow-through, and accountability across projects
- Maintain confidentiality and adhere to NDA/cybersecurity policies
Must-Have Qualifications
- 3–4+ years of experience as an Executive Assistant, Project Manager, or VA supporting C-level/startup executives
- Proven experience in project management and system building (SOPs, workflows, accountability tracking)
- Strong proficiency with Notion, Google Workspace, AI productivity tools
- Tech-savvy, resourceful, and proactive problem solver
- Excellent written and verbal English communication
- Ability to integrate with MacOS and iPhone productivity tools (reminders, calendar, etc.)
- High adaptability and flexibility working in dynamic, multi-venture environments
- Eastern Time Zone overlap required
