Job Description:
The Data & Administrative Virtual Assistant will support internal business operations by managing CRM tasks, monitoring communications, and ensuring accuracy across daily, weekly, monthly, and quarterly processes. The VA will work closely with the sales team to maintain accountability, assist with reporting, and perform light data analysis in Excel/Google Sheets. This role is primarily internal-facing but may grow into outbound and client-facing tasks in the future.
Key Responsibilities:
- Perform assigned daily, weekly, monthly, quarterly, and yearly tasks based on existing SOPs.
- Update and maintain records in Zoho CRM (e.g., client attributions for 5-star reviews, tracking client communication status).
- Monitor client texts and flag missed responses to sales staff.
- Conduct data entry, clean-up, and reporting within CRM and spreadsheets.
- Assist with Excel/Google Sheets analysis for sales and operations tracking.
- Support ongoing business process documentation and adherence to SOPs.
- Coordinate with sales team to ensure timely follow-up and accurate client communication tracking.
Must-Have Skills & Requirements:
- Strong proficiency in Excel & Google Sheets (non-trainable requirement).
- Experience with CRM systems (Zoho CRM experience is a plus but not required).
- Detail-oriented and highly organized, able to follow structured SOPs.
- Reliable, proactive, and capable of working independently.
- Strong written and verbal English communication skills.
- Comfortable working PST hours (Los Angeles time zone).
