Job Description

This virtual assistant role provides high-level administrative support to a national veterinary leader while serving as a key liaison for clients who are doctors, lenders/banks, private equity, and veterinary practice owners, and veterinary corporations. The role requires exceptional organizational and communication skills and discretion with sensitive information.

Time Zone: EST (Boston, Massachusetts) | Flexibility allowed (1–2 hours overlap minimum, or full EST coverage if needed)

Administrative Support

    • Manage several calendars and schedule meetings for an executive, prioritizing urgent matters and complex workflows.
    • Coordinate travel arrangements, including booking flights, hotels, and transportation, and prepare detailed itineraries.
    • Draft, proofread, and edit correspondence, reports, and presentations for both internal and external audiences.
    • Act as a gatekeeper, handling incoming and outgoing correspondence (emails, phone calls), ensuring smooth communication flow by answering or redirecting inquiries as appropriate, and drafting documents.
    • Create and maintain highly organized electronic filing systems for records and documents.
    • Process expense reports and track payments and budgets.

Broker and Consulting Support

    • Assist with the preparation of client-facing materials for meetings and presentations.
    • Act as a point of contact for clients, handling communications with diplomacy and a high level of confidentiality.
    • Assist with the client enrollment process by gathering necessary forms and information and building client records to begin valuation and sales process.
    • Conduct research and follow-up on new leads in certain markets to support consulting activities.
    • Serve as an advocate for clients, helping to address inquiries.
    • Track key metrics and assist in generating reports that inform strategic business decisions for the business.
    • Add new clients and manage current clients in the CRMs.

Special projects and compliance

    • Assist with special projects and initiatives, coordinating resources and tracking project progress to ensure deadlines are met.
    • Coordinate and help prepare documentation for audits or accreditation.

Qualifications and Nice to Have's

    • Education: An associate or bachelor's degree in healthcare administration, business, or a related field is often preferred.
    • Experience: Previous experience supporting executive-level staff, ideally in a healthcare environment (e.g. doctors, hospital leaders, etc).
    • Knowledge: Solid understanding of medical terminology, healthcare laws (e.g., HIPAA), and the insurance marketplace.
    • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), CRM software, and healthcare-specific systems.
