Job Description

The Construction Administrative Assistant will support a General Contracting company by managing vendor outreach, estimate collection, client communication, and construction-related administrative tasks. This role requires strong follow-up skills, organizational ability, and attention to detail to ensure projects stay on schedule and within budget.

Key Responsibilities

    • Reach out to subcontractors/vendors (40–65 per project) to gather and track estimates/quotes.
    • Follow up consistently with vendors to ensure timely responses.
    • Compile estimates into structured formats for review and decision-making.
    • Assist with client communication and follow-up as needed.
    • Support with document preparation, correspondence, and other project-related admin tasks.
    • Utilize Google Workspace (Gmail, Docs, Sheets, Drive) for all workflows.
    • (Preferred) Interpret and understand construction blueprints to assist with estimating processes.

Must-Have Qualifications

    • Strong organizational and follow-up skills.
    • Excellent communication skills (clear written and spoken English).
    • Experience with vendor coordination, estimates, or procurement (preferred).
    • Proficiency in Google Workspace (Gmail, Docs, Sheets, Drive).
    • Self-motivated, detail-oriented, and able to manage multiple tasks simultaneously.
    • (Preferred) Familiarity with U.S. construction processes, terminology, or blueprint reading.
