Fast-growing B2B SaaS company developing a Chrome extension for sales prospecting. With a lean team of 5–6 professionals, this company is scaling rapidly and requires operational support to ensure sales processes are executed smoothly and efficiently.
Role Overview
We are seeking an experienced Sales Operations Virtual Assistant to support the company's sales and operations functions. The VA will manage CRM updates, reporting, and customer-facing communications while helping streamline workflows across sales, billing, and partner activities. This role is critical in enabling the company's team to focus on growth while ensuring the back-end processes run seamlessly.
This is an initial 2-month engagement, with the potential to extend to a month-to-month arrangement based on performance and company needs.
Key Responsibilities
Sales Operations & CRM
Update and maintain HubSpot CRM with sales information and activity tracking.
Prepare sales follow-up emails from call transcripts using ChatGPT.
Generate and deliver weekly pipeline forecasts and sales performance reports.
Coordinate updates with sales reps (e.g., intros, handoffs).
Customer & Partner Support
Manage monthly partner referral tasks.
Prepare and compile customer case studies for marketing/sales collateral.
Prepare and compile user activation metrics for leadership reporting.
Provide billing support with customers (invoicing, clarifications, light follow-up).
Draft and prepare sales follow-up (FUP) emails directly from the inbox.
Collaboration & Admin
Work across Google Sheets, Notion, and Slack for tracking and reporting.
Provide ad-hoc operational support to improve team productivity.
Qualifications
Minimum 3–4 years of experience in Virtual Assistant, Sales Operations, or CRM support roles.
Strong knowledge of CRM platforms (HubSpot preferred), sales workflows, and reporting.
Excellent written communication skills, especially in drafting professional client-facing emails.
Proficiency in Google Workspace, Notion and Slack.
Experience with sales operations metrics and reporting.
Reliable technology setup (laptop and stable internet connection).
Flexible availability with overlap in the client’s working time zone.
