About the Role
We're a dynamic media and events organization dedicated to telling the stories of social impact and convening leaders who are building a more inclusive and regenerative world. We’re searching for a proactive and detail-oriented Virtual Assistant to be our backbone for financial administration and operations support. This is a full-time, 40-hour/week opportunity for a curious and organized individual to become a key player in our operations, ensuring that our financial and administrative processes are as robust and transparent as our mission.
We are looking for someone with experience in QuickBooks Online and a basic understanding of payroll—or someone who is a quick study and ready to take on the challenge of supporting our financial health.
Key Responsibilities
- Financial Administration & Bookkeeping: You'll be the keeper of our financial records, meticulously tracking and reconciling corporate credit card receipts, organizing and maintaining critical financial documentation, and supporting all bookkeeping tasks in QuickBooks Online.
- Payroll & HR Administration: Manage the full payroll process, ensuring employees are paid accurately and on time while complying with all federal and provincial regulations. This includes processing deductions, benefits, and statutory forms (T4s, ROEs, T2200s, TD1s). You'll also support HR functions like onboarding new employees, writing employment contracts, and handling employment records and confidential employee questions. A key part of this will be ensuring compliance with the Ontario Labour Code and Employment Standards Act.
- Financial Operations: Manage payments via Plooto and wire transfers, maintain benefit coverage, and monitor the company’s financial position. You’ll also assist with year-end financial closing and liaise with financial institutions.
- Administrative Support: Create and manage new staff accounts (Gmail, Slack, etc.) and handle various ad hoc duties as needed to support the team.
Key Skills & Experience
- You have proven experience in finance, bookkeeping, or a similar accounting support role.
- You are a master of, or ready to become an expert in, QuickBooks Online.
- Experience with payroll processes and HR administration is a significant asset.
- You are highly proficient in Google Workspace (Docs, Sheets, Drive).
- Your attention to detail is second to none, and you can manage your work independently with a high degree of discretion, especially with sensitive financial and employee information.
- Knowledge of the Ontario Labour Code and Employment Standards Act is a must, or a demonstrated ability to quickly learn and apply these regulations.
- Experience with Airtable is a bonus, but not required.
