Role Summary
Partner with our HR Manager (a department of one) to keep people operations humming. You’ll
source and screen candidates, verify certifications, move applicants through the funnel, and
keep personnel records accurate and audit-ready. You’ll thrive in a fast-growing,
compliance-heavy environment and reduce admin load so HR can focus on employee relations
and leadership support.
Responsibilities
● Recruiting support
○ Post and refresh jobs on Indeed/LinkedIn; conduct resume screens.
○ Verify EMS credentials (e.g., EMT/Paramedic/NREMT/state certifications) and
work eligibility.
○ Coordinate interviews, ride-along/orientation schedules, references, and offers.
● Onboarding & records
○ Prepare offer letters and onboarding checklists; collect I-9/W-4/licensure/CEs.
○ Maintain digital personnel files; track license/CE expiration dates and reminders.
○ Set up new hires across systems (HRIS/ATS, payroll, email, scheduling).
● Compliance & admin
○ Prepare HR documents, write SOP checklists, and draft policy updates from
templates.
○ Support incident/disciplinary documentation and meeting notes.
○ Produce weekly pipeline and hiring KPI reports.
● Employee lifecycle
○ Support benefits enrollments, changes, and terminations (coordination with
payroll).
○ Maintain org charts, distribution lists, and contact rosters.

Must-Haves
- Strong recruiting coordination and HR admin experience (3–4+ years).
- High accuracy and confidentiality (familiarity with US employment basics; HIPAA awareness a plus).
- Excellent written/spoken English; professional phone presence.
- Proactive, organized, and process-minded with strong follow-through.
Nice-to-Haves
- EMS/healthcare or unionized/hourly workforce experience.
- Knowledge of license tracking/compliance systems.
- Bachelor’s in HR/Business or HR certification (PHR/SHRM-CP) preferred.
Success in 90 Days

$900 - $1,100 a month
Hours: Full-time (40 hrs/wk) aligned to Eastern Time (ET)
