Job Description:

The Executive & Personal Virtual Assistant will provide high-level administrative, organizational, and personal support to the President of a managed IT services company. The ideal candidate is proactive, detail-oriented, highly organized, and experienced in supporting executives with both business and personal tasks.

Key Responsibilities

    • Manage and organize email inbox, prioritizing and flagging critical items.
    • Coordinate and maintain complex calendars, schedule meetings, and avoid conflicts.
    • Arrange domestic and international travel, including itineraries and accommodations.
    • Pull and review monthly financials (P&L) and flag anomalies or changes from previous months.
    • Conduct research, compile data, and prepare summaries for decision-making.
    • Assist with light project management tasks.
    • Manage personal errands (e.g., pharmacy changes, household tasks).
    • Coordinate with household staff (e.g., nanny) and assist with family logistics.
    • Create grocery lists, meal prep ideas, and kid-friendly lunch plans.
    • Suggest and research weekend family activities/events.
    • Use Microsoft Suite (Excel, Outlook) efficiently, including advanced functions.
    • Run basic QuickBooks reports when requested (no accounting background required).
    • Communicate through Microsoft Teams for real-time coordination.

Must-Have Qualifications:

    • 3–4+ years of executive or senior administrative assistant experience.
    • Proven ability to work independently, think critically, and anticipate needs.
    • Strong organizational and multitasking skills.
    • Excellent written and verbal English communication skills.
    • Proficiency in Microsoft Excel, Outlook, and general Microsoft Suite tools.
    • High attention to detail and ability to maintain confidentiality.
    • Experience supporting individuals with ADHD or ability to adapt to fast-paced, shifting priorities.

Work Schedule

    • 20 hours/week to start, flexible within Monday–Friday.
    • Central Time (CT) overlap required.
    • No regular weekend work expected.
