About the Role

We’re seeking a highly organized, proactive Executive Assistant with nonprofit operations savvy to act as a force-multiplier to the Board President/acting Executive. You’ll manage high-volume communications, keep priorities moving, prepare board materials, shepherd compliance tasks, and bring order to a fast, mission-driven environment. Strong writing and prioritization are essential.

What You’ll Do Executive Support & Communications
● Own the President’s inbox management: triage messages, draft polished responses, flag priorities, and keep follow-ups on track.
● Draft, edit, and proof professional correspondence on behalf of leadership; adapt to the organization’s voice (and leverage AI tools appropriately).
● Coordinate calendar holds, touchpoints, and quick check-ins (1–2 per day) to confirm priorities and unblock work. Board & Governance
● Build and maintain board packets and meeting materials (agendas, minutes, executive summaries, supporting docs).
● Track board and committee action items; gently drive accountability to the strategic plan and annual goals.
● Coordinate logistics and comms for board/general membership meetings; manage reminders, confirmations, and post-meeting recaps.

Compliance & Operations
● Work through a nonprofit compliance checklist (e.g., annual filings, 990 support, policy reviews) in coordination with the attorney and accountant.
● Maintain tidy, accessible documentation and version control for organizational records and policies. Stakeholder & Event Coordination
● Draft and send concise updates to volunteer leaders (e.g., event coverage requests, talking points, RSVP by dates).
● Coordinate occasional event/invitation responses (decide attendance, confirm reps, prep key messages).

Project & Workflow Management
● Break projects into tasks, owners, and timelines; track progress and surface risks or decisions needed.
● Anticipate what’s next; propose process improvements that increase speed, quality, and clarity.

What Makes You a Great Fit

Must-Haves
● 3–5+ years in Executive Assistant, Chief-of-Staff, or Operations Coordinator roles (nonprofit experience a plus).
● Exceptional written communication (clear, concise, audience-appropriate); meticulous proofreading.
● Demonstrated strength in prioritization, time management, and moving multiple workstreams to completion.
● Comfortable setting daily cadence (brief touchpoints) and working independently between them.
● High integrity, discretion, and sound judgment handling sensitive information.

Nice-to-Haves (any of the following)
● Exposure to nonprofit operations/governance (board support, minutes, policy upkeep).
● Familiarity with HR processes (performance cycles, compensation review coordination).
● Experience supporting regulatory/financial filings (e.g., 990 preparation with outside CPA).
● Light event coordination and stakeholder communications experience.

Tools You Know (or Learn Quickly)
● Google Workspace or Microsoft 365 (Docs/Word, Sheets/Excel, Slides/PowerPoint)
● Project/task trackers (Asana, Trello, ClickUp, or similar)
● PDF editors; e-signature tools; basic cloud file organization
