Job Description

We are seeking a Recruitment Coordinator / Executive Assistant to support a fast-growing health tech company. This hybrid role combines 50% coordination of workshops and group coaching sessions (logistics, scheduling, customer coordination) and 50% executive assistant support for the Head of HR and co-founders.
The ideal candidate will have strong coordination skills, experience supporting senior leaders, and the ability to streamline processes through automation and AI tools.

Key Responsibilities

    • Coordinate and schedule workshops, group sessions, and coaching events for clients
    • Manage logistics and communications with clients and participants
    • Provide EA-level support to the Head of HR and co-founders (calendar, scheduling, admin tasks)
    • Handle business operations tasks as needed (documentation, follow-ups, reporting)
    • Suggest and implement automation/AI tools to improve efficiency
    • Liaise with internal team and 150+ freelance providers to ensure smooth operations

Must-Have Qualifications

    • Prior experience in recruitment coordination, interview coordination, or workshop/event scheduling
    • Proven background as an Executive Assistant supporting C-suite or senior management
    • Strong organization and communication skills (written and verbal)
    • Ability to manage multiple stakeholders and meet deadlines
    • Tech-savvy with knowledge of automation tools, AI applications, and workflow improvements
    • Availability to work UK/Spain business hours
