Role Overview
Treasury Spring is a high-growth fintech (c. 80 staff across London & New York) seeking a sharp,
service-oriented Executive Assistant to support senior team members in the US. You’ll own
complex scheduling across time zones, meeting logistics, and travel using corporate systems,
plus reliable follow-ups that keep conversations and actions moving.

Key Responsibilities
Calendar & Scheduling
● Own complex calendars for US executives; schedule internal/external meetings across
NY/London time zones.
● Set up virtual meetings (links, dial-ins) and arrange in-person logistics (rooms via
building system, suitable venues).
● Proactively chase confirmations and reschedules; manage holds, buffers, and priorities.

Meeting Support & Follow-Ups
● Track pre-reads, attendee lists, and objectives; circulate agendas where needed.
● Capture and drive post-meeting actions/follow-ups; maintain simple trackers so nothing
slips.

Travel & Events
● Coordinate multi-city travel (flights, hotels, ground) via the corporate booking system;
align with policy and budgets.
● Support conference logistics (passes, schedules, side meetings, dinner reservations).
Communication & Coordination
● Professionally liaise with clients, prospects, partners, and vendors on behalf of
executives.
● Keep stakeholders informed with concise updates; escalate risks early.

Admin & Process
● Maintain tidy records (invites, itineraries, confirmations).
● Respect security best practices for credentials, devices, and data; work under NDA and
company policies.

Must-Have Qualifications

    • 3+ years recent experience as an EA/VA supporting executives in fast-paced, client-facing environments.
    • Mastery of time-zone scheduling and calendar hygiene; anticipates conflicts before they happen.
    • Strong written and verbal English; polished, client-ready tone.
    • Hands-on with Microsoft/Google calendars, Zoom/Teams/Meet, and building/room-booking systems.
    • Travel booking experience using corporate tools and policies.
    • Highly organized, proactive, and dependable; follows through without hand-holding.
    • Discretion handling confidential information; comfortable working under NDA and cybersecurity guidelines.

Nice to Have

    • Background in fintech/financial services or other regulated, professional services environments.
    • Experience coordinating conference schedules and side-meetings.
    • Light project-tracking (Notion/Trello/Asana/Sheets).
    • Familiarity with password managers and secure access practices.

Success in the First 60–90 Days

    • Calendars stabilized with clear rules of engagement (buffers, priorities, time-blocks).
    • Standardized meeting & follow-up workflow in place (agenda → meeting → action log).
    • Corporate travel profiles set; 100% compliant itineraries delivered with minimal revision.
    • Simple weekly summary to executives (key meetings booked, actions closed, risks/needs).
$500 - $700 a month
