Role Overview
Seeking a highly organized, tech-savvy Personal Assistant to own day-to-day life admin and household logistics for a busy professional and family. You’ll create simple systems, keep recurring tasks on track, and handle form-filling, bookings, returns, and mail coordination so the client can focus on work and family. Discretion, reliability, and proactive problem-solving are essential.
Key Responsibilities Life & Household Admin
● Handle recurring renewals and applications (e.g., neighborhood parking permits, caregiver permits).
● Manage returns (e.g., Amazon): generate labels, schedule drop-offs/pickups, track refunds.
● Pay/appeal parking tickets per instructions; retain receipts and confirmations.
● Book and manage personal appointments (e.g., 6-month haircut cadence via online portals), following client preferences and blackout dates.
● Order groceries via Amazon Fresh/other services; schedule weekly laundry pick-up/drop-off.
● Source and purchase gifts; track occasions and reminders. Scheduling & Coordination
● Work around a work-only calendar by sending invite holds from a dedicated assistant email (client will accept to add to calendar). ● Maintain a shared, prioritized task list/queue; surface what’s due today/this week; set reminders.
● Coordinate with the client’s work EA when physical mail/printing is needed (e.g., prepare PDFs, instructions; request mailing).
● Support spouse/family requests as a shared family PA (light coordination, forms, bookings).
Documentation & Systems
● Create simple SOPs/checklists for repeatables (returns, permits, bookings).
● Maintain a log of expenses, confirmations, delivery windows, and open items.
● Suggest workflow improvements and tools; implement with minimal oversight.
Must-Have Qualifications
● 3–4+ years as a PA/EA/VA supporting U.S./global clients.
● Exceptional organization, follow-through, and anticipation of needs.
● Fluent written/spoken English; clear, concise communicator.
● Strong web/app fluency: online portals, booking systems (e.g., Square), Google Workspace/Outlook, PDFs, e-sign tools.
● Comfortable handling sensitive information (PII/payment data) with strict discretion; familiarity with secure practices (password managers, VPN).
● Proactive, resourceful problem-solver who can operate with minimal instruction and ask smart clarifying questions. Nice-to-Haves ● Experience acting as a family PA (supporting spouses/households).
● Familiarity with Amazon Fresh/Instacart and common U.S. service apps.
● Light budgeting/receipt tracking experience.
● Bay Area context awareness (helpful but not required).
Success Looks Like
● Recurring tasks are completed on time without reminders; no missed renewals.
● Calendar holds arrive with accurate context and are accepted on first pass.
● Returns, payments, and deliveries are handled end-to-end with zero follow-up needed.
● The client’s task queue stays short, clear, and prioritized; “open loops” are closed quickly.
