We are seeking a highly organized and personable Virtual Executive Assistant to support the CEO of a Chamber of Commerce (non-profit) with email management, scheduling, and administrative tasks.
The ideal candidate will be detail-oriented, skilled in Microsoft Office tools, and able to handle confidential information with discretion. This role begins part-time (20 hours/week) with the potential to scale to full-time as the organization’s budget allows.
Key Responsibilities
●Email & Communication Management
● Organize, sort, and prioritize a high-volume email inbox (800+ emails).
● Draft, proof, and send professional email replies on behalf of the executive.
● Ensure timely responses and flag urgent matters. Calendar & Scheduling Support
● Manage and update the executive’s calendar.
● Schedule internal and external meetings.
● Coordinate with board members, partners, and stakeholders. Administrative & Document Management
● File and organize receipts, accounting records, and important documents.
● Maintain digital filing systems for easy access and reporting.
● Handle confidential and sensitive information responsibly. Must-Have Qualifications
● 3–4+ years of experience as an Executive Assistant, Virtual Assistant, or Administrative Professional.
● Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and Adobe products.
● Strong written and verbal communication skills.
● Friendly, upbeat personality with a professional and approachable tone.
● High level of organization, attention to detail and confidentiality.
● Ability to work with Pacific Time Zone for required overlap.
