About the Role

We are seeking a highly skilled and proactive Executive Assistant to support the top revenue-producing salespeople at a leading U.S based healthcare staffing company.

This role is designed to take pressure off the sales team, streamline operations, and keep the CRM and administrative processes running smoothly.

This is a new, high-impact position, ideal for someone who thrives on taking initiative, bringing order to fast-moving environments, and acting as a trusted right hand to busy executives.

Key Responsibilities

1. CRM & Sales Cycle Support
Update and manage Bullhorn (ATS/CRM) to move physicians through each step of the process.
Ensure accuracy and completeness of data, knowing that CRM actions trigger next steps for other departments.

2. Scheduling & Coordination
Arrange interviews, coordinate with internal recruiters, and manage calendar invites.
Communicate with clients, physicians, and team members to confirm times and logistics.

3. Timesheet & Payroll Support
Track timesheets and follow up on missing entries.
Help resolve payroll discrepancies or issues in a timely manner.

4. Inbox & Communication Management
Monitor and manage the inbox of the top earners.
Draft and send professional emails, follow up on open items, and ensure nothing falls through the cracks.
Serve as a gatekeeper once comfortable in the role.

5. Operations & Travel Support
Collect hotel folios and travel receipts for all doctors who have traveled in the last week/month.
File documentation accurately and work with the travel team to resolve missing information.

Ideal Candidate Profile

Highly Organized: Able to prioritize tasks and manage multiple requests at once.
Detail-Oriented: Understands that small errors can cause downstream issues.
Tech-Savvy: Proficient with Microsoft Outlook, Word, Excel; quick to learn new systems (Bullhorn experience a plus, but not required).
Strong Communicator: Excellent written English; comfortable with email communication and professional on calls when needed.
Proactive & Resourceful: Anticipates needs, solves problems independently, and brings solutions to the team.
Healthcare or Recruiting Experience: Nice-to-have, but not mandatory.
