Job Overview:
We are looking for an efficient and detail-oriented Executive Assistant to provide comprehensive administrative support, specifically in the areas of email management, logistics, purchases, payroll, and customer service. This role will require a high level of organization, excellent communication skills, and the ability to juggle multiple tasks efficiently. The ideal candidate will play a key role in assisting with quotes, managing email communications, handling payroll details, and supporting order processing and logistics.

Key Responsibilities:  
• Email Triage: Manage the executive's email inbox, filtering and prioritizing messages. Draft responses as necessary or redirect emails to the appropriate team members, ensuring no communication is missed.
• Calendar Management: between all businesses, you’ll have to schedule different events on the CEO calendar.
• Payroll Processing: Collect and prepare payroll details for employees, ensuring all information is accurate and complete before sending it to the bookkeeper for processing.
• Purchases Price Confirmation: Confirm and track pricing on purchased goods. Work with suppliers to verify the best prices and ensure purchase orders are accurately processed.
• Bank Reconciliation: review bank statements to reassign various expenses
• Invoicing for Groupe JB: Prepare, finalize, and send out accurate and professional invoices for Groupe JB clients, ensuring prompt and efficient communication.
• Accounts Receivables Email: Prepare and email out accounts receivable statements, ensuring timely follow-up and resolution of outstanding balances.

Qualifications:

• Experience: Minimum of 3-5 years of executive assistant or administrative experience, with a strong background in handling orders, quotes, and payroll in a fast-paced environment.

Skills:
o Strong organizational skills with attention to detail
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
o Experience with Shopify or similar order management systems
o Excellent written and verbal communication skills
o Ability to handle multiple tasks and deadlines simultaneously
o High level of professionalism and confidentiality
o Ability to work independently and as part of a team
o Familiarity with payroll systems and accounts receivables management

Additional Requirements:
o Work 6am to 3pm Eastern Time Zone.
o Ability to maintain discretion and confidentiality when handling sensitive information
o Strong problem-solving skills and the ability to anticipate the needs of the executive
o Ability to draft and organize professional communications quickly and efficiently o High level of accuracy when entering orders, processing payroll, and handling financial details
