Work 1:1 with a U.S.-based founder (post-exit, starting a new venture) as a proactive EA/Chief of Staff hybrid. You’ll handle a mix of personal and business tasks: complex scheduling, travel, vendor/lawyer coordination, research and diligence (e.g., property purchase in the Middle East), and light financial admin (secure purchases, invoice/receipt tracking).
We’re looking for a smart, highly reliable operator who anticipates needs, moves fast and gets things done with minimal oversight.
Key Responsibilities:
● Calendar & Comms
● Own complex scheduling across time zones; send/confirm invites; keep tight follow-ups.
● Draft/reply to emails/messages on the founder’s behalf (Gmail, WhatsApp, iMessage), keeping tone on-brand.
● Travel & Purchases
● Research and book flights, hotels, cars; manage changes and preferences.
● Make secure purchases (tickets, hotels, tuition/fees, rent, services); maintain receipt logs.
● Property Search & Coordination
● Research target properties in the Middle East per criteria; shortlist; liaise with agents; schedule viewings/calls; track next steps.
● Company Formation & Professional Services
● Source and vet U.S. attorneys/registered agents; coordinate document drafts and signatures; track filings and deadlines.
● Prepare materials and information requests; keep stakeholders aligned.
● Light Finance/Admin
●Track paid invoices/recurring bills; reconcile receipts to a simple tracker; prepare monthly summaries.
●(Future, trust-based) Assist with wires and account tasks per written SOPs.
Projects & Ops:
● Spin up checklists/SOPs; maintain project trackers; keep the founder unblocked.
● Research vendors/tools and present concise options with pros/cons and costs.
● Confidentiality & Security
● Handle sensitive data (passports, legal/financial docs) with strict discretion and secure workflows.
Must-Haves:
● 4+ years as an Executive Assistant, Chief of Staff, or Ops/Project Coordinator supporting a senior leader or founder.
● Proven ownership: can run with fuzzy inputs, make sound decisions, and report back succinctly.
● Financial comfort: confident making purchases, tracking spend, organizing receipts; high numeracy and attention to detail.
● World-class reliability & follow-through: same-day responses, relentless calendar control, crisp task tracking.
Tools:
●Gmail/Google Calendar, Docs/Sheets, basic e-signature; quick to learn new apps.
● Communication: excellent written/spoken English; professional tone, tact, and confidentiality.
Nice-to-Haves
● Experience coordinating law firms, incorporations, or cross-border work.
● Real-estate search/agent coordination experience.
● Familiarity with secure access practices (password managers, virtual cards, limited-access inboxes).
● Prior work across U.S. business hours and with WhatsApp/iMessage.
Ways of Working
● PST overlap daily; responsive during founder’s workday.
● Operate from clear weekly priorities; provide end-of-day/weekly status with next actions, blockers, and decisions needed.
● Use secure workflows (e.g., password manager for credentials; shared inbox rules; virtual payment cards; read-only where possible).

● Meetings and follow-ups happen without slips; founder’s calendar is organized and protected.
● Travel and purchases are on-budget, accurate, and documented.
● Property search and company-formation tasks advance weekly with visible pipelines and deadlines.
