Job Description:

A Toronto-based equipment manufacturer in the packaging industry is seeking a bilingual (English/Spanish) Virtual Assistant to support their sales organization. This role is a hybrid of receptionist and business development support, helping streamline inbound inquiries, qualify leads, and schedule appointments with the appropriate regional sales managers. The assistant will act as the first point of contact for potential customers calling or filling out web forms, capturing essential project details, and directing them to the right sales personnel. The VA may also initiate outbound follow-ups based on internal sales or service triggers.

Key Responsibilities:

    • Answer inbound calls and direct inquiries to the correct sales team member
    • Schedule appointments for regional sales managers using a shared calendar system
    • Handle web form submissions and reach out to leads for additional information
    • Qualify leads using a provided intake form (e.g. packaging size, machine needs, automation preferences)
    • Send or walk clients through pre-qualification forms for their packaging projects
    • Conduct occasional proactive outreach to re-engage older clients or leads needing follow-up
    • Maintain lead records and appointment history in Salesforce CRM

Must-Haves:

    • Fluent in English and Spanish (French is a bonus but not required)
    • Prior experience in a client-facing role (sales support, receptionist, or customer service)
    • Strong communication skills via phone and email
    • Experience using Salesforce CRM
    • Tech-savvy with the ability to manage scheduling tools and intake forms
    • Self-managed and reliable with excellent attention to detail

Schedule:

    • Availability should overlap partially between EST and PST — ideal working hours around 11 AM–2 PM PST (2 PM–5 PM EST)
$900 - $1,100 a month
