We’re looking for a proactive Executive Marketing & Outreach Assistant to own our social presence, prospect outreach, and meeting generation, while keeping our CRM pipeline in excellent shape. This is a hybrid role that blends marketing execution, business development support and founder assistance.
You’ll work closely with the founder and operations team to ensure our voice is consistently represented online, new opportunities are generated, and no leads slip through the cracks.
What You’ll Own
1. Social Publishing & Presence
Plan, draft, and publish consistent LinkedIn posts for the founder (primary) and company page.
Repurpose/adapt content for Instagram with smart variations.
Maintain a simple content calendar and ensure steady cadence (daily or every 2 days).
Assemble on-brand visuals from templates (light creative work).
Proof content for clarity, grammar, and brand tone.
2. Meeting Generation & Scheduling
Proactively source and reach out to target contacts (warm network + net-new).
Book qualified intro meetings aligned with founder travel (SF, LA, Toronto, etc.) and ongoing BD.
Own the back-and-forth until meetings are confirmed; send calendar invites with relevant context.
Follow up on no-responses and keep scheduling momentum.
3. Lead Nurture Ops (HubSpot)
Enroll contacts into prebuilt HubSpot sequences (~500/day under direction).
Track replies, log notes, set next steps.
Maintain pipeline hygiene: stages, tasks, and next-touch dates always up to date.
4. Pitch Deck Support (nice-to-have → grow into)
Use existing templates to update or build client decks/one-pagers.
Insert relevant community examples, screenshots and stats.
Deliver simple updates within 24–48 hours.
What Success Looks Like (First 60–90 Days)
Posting cadence is consistent, on-brand, and professional.
Steady weekly flow of qualified meetings from outreach.
Fast, reliable responses with zero dropped threads.
HubSpot pipeline is clean, accurate, and up to date.
Deck requests turned around in 24–48 hours.
Must-Haves
3+ years in a growth/marketing VA, social media, SDR/BDR assistant, or EA/marketing hybrid role.
Excellent written English; can adopt a North American B2B voice.
Familiarity with marketing/ad-tech terms (ICP, sequences, pitch decks).
Proven experience booking meetings via email/LinkedIn and managing founder calendars.
Hands-on experience with:
HubSpot (or similar CRM)
LinkedIn & Instagram
Google Workspace
Calendly
Highly autonomous, dependable, and responsive; escalates blockers early.
Nice-to-Haves
Portfolio of LinkedIn/IG content you’ve managed for founders or B2B brands.
Light design skills (Canva, Figma, Google Slides).
Exposure to enterprise brands, agencies, or Fortune 500.
Familiarity with WhatsApp/iMessage for coordination.
