JOB DESCRIPTION:

Seeking a proactive, detail-oriented Female Virtual Assistant to support business operations, create and document Standard Operating Procedures (SOPs), and manage multi-functional tasks including dispatching, sales support, bookkeeping assistance, and social media marketing. The role involves daily coordination with female subcontractors and prospective clients, making clear communication and relationship-building essential. This is a hands-on role for someone comfortable building systems from scratch and taking initiative when processes are not yet fully defined.

RESPONSIBILITIES:

    • Create & maintain SOPs for dispatching, onboarding, marketing, sales, and admin
    • Handle dispatching: assign jobs, confirm availability, manage rescheduling
    • Manage social media: content creation, scheduling, captions, engagement
    • Assist sales: follow up with leads, prepare quotes, track results in CRM
    • Bookkeeping: enter invoices, reconcile accounts, maintain records
    • Administrative support: email triage, document preparation, file management
    • Research tools, create templates, improve workflows

MUST-HAVE REQUIREMENTS

    • SOP Development: Proven ability to create and document business processes for small businesses
    • Dispatching Experience: Scheduling jobs, assigning subcontractors, handling urgent changes
    • Social Media Marketing Skills: Content creation, post scheduling, light engagement, basic ads (Facebook, Instagram, TikTok)
    • Sales Support Experience: Lead follow-up, preparing quotes/proposals, tracking conversions
    • Bookkeeping Skills: Transaction entry, reconciliation, financial reporting (Wave, QuickBooks, or similar)
    • Admin Support Skills: Email management, document creation, data entry, file organization
    • Tool Proficiency: Google Workspace, Asana (or similar project management tool), Jobber or similar preferred
    • Soft Skills: Strong organizational skills, attention to detail, proactive problem-solving, ability to work independently

WORK EXPECTATIONS:

    • Hours: 20 hours/week (flexible, with potential increase)
    • Must respond promptly during working hours for client communications and dispatch needs

If primary tasks are completed early, focus shifts to:

    • SOP creation & updates
    • Marketing content pipeline building
    • Process improvement & file organization
    • Clear, timely communication and high accuracy across all tasks
    • Adaptability as the business grows and evolves
