Overview
We are seeking a highly organized and proactive Executive Virtual Assistant to support the founder of a fast-growing social media and content creation company. This role is ideal for someone who thrives in a fast-paced environment, can think two steps ahead, and is comfortable managing both business and administrative tasks. The right candidate will enable the founder to focus on scaling the business by handling day-to-day operations efficiently.
Key Responsibilities
● Inbox & Calendar Management
○ Organize and manage email inbox, flagging urgent messages and responding when appropriate.
○ Schedule, reschedule, and confirm meetings across multiple time zones.
○ Coordinate with clients, partners, and collaborators on behalf of the founder.
● Executive Support
○ Act as a gatekeeper and first point of contact for daily operations.
○ Prepare reminders, notes, and action lists to ensure priorities are met.
○ Anticipate needs and provide proactive solutions.
● Operational Tasks ○ Assist with document preparation, proposals, and light research.
○ Support project management by tracking deadlines and follow-ups.
○ Help streamline workflows using productivity tools and AI applications. ● Technology & AI Utilization ○ Leverage AI tools (e.g., ChatGPT, Notion AI, or similar) to improve efficiency, draft communications, and support content workflows.
○ Suggest process improvements and tech-enabled solutions for productivity.
Qualifications
● 3+ years of experience as an Executive Assistant, Personal Assistant, or Virtual Assistant.
● Strong organizational and multitasking skills with attention to detail.
● Excellent communication skills (written and verbal).
● Tech-savvy with proficiency in productivity tools (Google Workspace, Microsoft Office, Calendly, Slack, etc.).
● Demonstrated ability to manage inboxes and calendars for busy executives.
● Experience using AI tools for drafting, scheduling, or streamlining tasks.
Self-starter, proactive, and solution-oriented mindset.
Nice-to-Haves
● Background in social media, digital marketing, or creative industries.
● Familiarity with project management platforms (Asana, Trello, ClickUp, etc.).
● Prior experience supporting entrepreneurs or small business owners.
